Families Together of Orange County is Hiring a Vaccine Coordinator (LVN or MA) Near Garden, CA

Job Title: Vaccine Coordinator (LVN or MA)

Salary: Starting at $32 per hour DOE

Location: Garden Grove

Openings: 1) Position Available 

Position Purpose: The Vaccine Coordinator is responsible for overseeing and coordinating all aspects of vaccine distribution and administration program for Families Together sites. This role involves collaboration with Internal and external stakeholders, including healthcare professionals, government agencies, community organizations, and the public. The Vaccine Coordinator ensures the efficient and equitable distribution of vaccines, monitors inventory levels, and implements strategies to maximize vaccination coverage.

Core Duties and responsibilities, include but are not limited to:

  • Oversee proper receipt and storage of vaccine shipments.
  • Oversee proper vaccine transport when transport is necessary for off-site immunization clinics, in emergency situations, or to transfer vaccine to another provider office as approved by the Immunization Unit.
  • Ensure a current Vaccine Information Statement is being offered to patients at each immunization encounter for each immunization being administered, prior to vaccine administration.
  • At a minimum, both Vaccine Coordinators need to be signed up to receive email alerts from CDC when VIS are updated. This can be done by using the link above and clicking on “Get Email Updates”.
  • Maintain all documentation regarding vaccine storage and handling and staff training across all clinics
  • Report any changes in key staff, to include either Vaccine Coordinator or the Primary Physician/Practitioner to the Immunization Unit as soon as the change is known.
  • Ensure that all staff receive adequate education and training in areas related to the PVP and that the training is documented on the Staff Training Log located in the Vaccine Management Plan, Appendix A. EZIZ Training – California Vaccines for Children (VFC)
  • Maintain a Vaccine Management Plan and an Emergency Plan for Vaccine Relocation. Each plan must be kept up-to-date at all times. The content must be reviewed and/or updated at least once annually or as changes occur.
  • Join California’s Immunization Registry CAIR2
  • Download data logger reports monthly for all sites and follow protocols
  • Follow temperature excursion process
  • Follow return and wastage vaccine process
  • Covid vaccine orders, inventory and reports

Vaccine Storage:

  • Keep vaccines organized within the storage unit(s) and inspect storage units daily to ensure they are running efficiently and that there are no abnormal issues such as doors left ajar, item(s) blocking unit air circulation vents, or improper placement of the data logger probe, etc.
  • Promptly remove expired vaccine from the storage unit(s) so it is not administered to patients.
  • Follow FTOC’s Vaccine policies
  • Maintaining clean and organized inventory

Storage and Handling:

  • Managing vaccine inventory involves identifying vaccines upon receipt, account for total inventory supply, rotate stock and records temperatures. In the event of an emergency, the vaccine coordinator is responsible for troubleshooting and instituting a backup protocol to safeguard the vaccine inventory.

Oversee Vaccine Ordering:

  • Oversight of all Vaccine stock replenishment
  • Maintain proper vaccine stock in all clinics
  • Perform physical inventory of all vaccine stock for all sites
  • Account for all doses through the reconciliation process for all returned, transferred, or borrowed vaccines since the last order. (Every 30 days)
  • Complete and submit the vaccine order based on the clinic needs.

Monitor Storage and Handling and Vaccine Administration Practices:

  • Check and record storage unit temperatures twice per day (first thing in the morning and before leaving for the day) on temperature logs.
  • Record min/max at least once per day.
  • Ensure temperatures are within acceptable range throughout the day. Refrigerator: between 36°and 46° Fahrenheit (2°-8°Celsius). Freezer temperatures are below5°Fahrenheit (-15°Celsius)

Site Visits:

  • Review and practice VFC and CHDP guidelines
  • Coordinate and implement workflows as needed
  • Organize and hold staff training as needed
  • Lead compliance visits as required

Education and Training:

  • High School Diploma (college preferred).
  • Medical Assistant or higher Certification from an accredited institution required.
  • Bilingual: Spanish (Required)

Qualifications, Skills, and Experience:

  1. Must have at least 3 years of experience as an LVN or higher level in a clinic setting.
  2. Must excel in multitasking within a high-paced environment.
  3. Strong computer skills, acute attention to detail, confident and professional communication.
  4. Responsiveness to the needs of both internal/external stakeholders in a professional and personable manner are expected.
  5. Knowledgeable in general EMR/EHR systems is preferred.
