About the Job:

The Administrative Specialist provides customer and administrative service in the daily support of operational activities, ranging from routine to the most complex, in a variety of functional disciplines. This position is required to be on-site daily from 8:30 am – 5:00 pm in the Alexandria, VA office.

 

What You Will Be Doing:

  • Responsible for daily operations, to include greeting employees and guest, maintaining calendars, providing general office maintenance, sorting, and distributing mail and packages, coordinating the pick-up or drop off of packages (FedEx, UPS, etc.) and monitoring and ordering of office supplies, furniture, equipment.
  • Create and maintain issue logs, meeting minutes, meeting schedules, project summaries and updates.
  • Coordinate, write, edit, and distribute communications to Falcon staff.
  • Manage and maintain Company org charts.
  • Provide event planning support for onsite meetings and activities.
  • Ensure office common areas, including kitchens, are kept neat and clean.
  • Assist property manager with vendor building maintenance service visits.
  • Invoices/Data Entry.
  • Assist with special projects as needed.
  • Other duties as assigned.
What You Bring:
  • High school diploma
  • Minimum three to five years’ administrative experience in a corporate setting
  • Expert demonstrated experience with MS Office
  • Strong verbal and interpersonal communication skills
  • Advanced business writing skills
  • Strong attention to detail, organization skills, and follow-through
  • Excellent proactive organizational skills
  • The ability to effectively conduct business professionally and with tact and discretion
