Overview:
As an Accounts Receivable Clerk, you will be responsible for managing the accounts receivable function of the organization, ensuring timely and accurate processing of customer invoices and payments. Your role will involve maintaining customer accounts, reconciling accounts receivable transactions, and communicating with customers to resolve payment discrepancies. Attention to detail, strong organizational skills, and proficiency in accounting software are essential for success in this role.

Responsibilities:

  • Invoice Generation: Generate and distribute customer invoices accurately and in a timely manner, ensuring adherence to billing schedules and customer terms.
  • Payment Processing: Record and apply customer payments received via checks, electronic transfers, credit card payments, or other methods. Verify payment accuracy and reconcile payments with invoices.
  • Customer Account Maintenance: Maintain customer accounts in the accounting system, including updating customer information, payment terms, and credit limits as necessary. Monitor account balances and aging reports to identify overdue accounts and follow up accordingly.
  • Collections: Follow up with customers on past due invoices through phone calls, emails, or letters to secure payment and resolve outstanding balances. Negotiate payment plans or settlements when necessary and escalate unresolved issues to management.
  • Reconciliation: Reconcile accounts receivable ledger to ensure accuracy and completeness of transactions. Investigate and resolve any discrepancies or variances in a timely manner.
  • Reporting: Prepare accounts receivable aging reports, cash receipts reports, and other financial reports as required. Provide regular updates on accounts receivable performance to management.
  • Communication: Collaborate with internal departments such as sales, customer service, and finance to address customer inquiries, resolve billing issues, and improve collections processes. Communicate effectively with customers to provide billing information, resolve disputes, and maintain positive relationships.

Qualifications:

  • High school diploma or equivalent; associate's or bachelor's degree in accounting or related field preferred.
  • Previous experience in accounts receivable, billing, or customer service role preferred.
  • Proficiency in accounting software and MS Office suite, particularly Excel.
  • Strong attention to detail and accuracy in data entry and financial record-keeping.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Effective communication skills, both verbal and written, with the ability to interact professionally with customers and internal stakeholders.
  • Knowledge of accounting principles and practices, including accounts receivable processes and procedures.

Physical Demands:

  • The position may require prolonged periods of sitting, typing, and working on a computer.
  • Occasional lifting of files or boxes weighing up to 20 pounds may be required.

Work Environment:

  • The role is primarily office-based, with regular working hours.
