As Portfolio Management Assistant at Renaissance, you would have a direct impact in our operations, helping us deliver a top-notch housing product and keeping our customers happy.

  • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner; practice effective time management to meet goals and requirements of job
  • Effectively interact with prospective and current residents, visitors and the general public and inspire team members to provide positive, memorable experiences for all customers, every day, conducting meaningful interactions by living the company’s core values; encourage and support employees to inspire compassionate performance and reaffirm the positive difference their work makes in our customers’ lives

Responsibilities

I. COMPLIANCE

a. Efficiently process all new applications, following up with applicants for missing documents; submit for approval/denial in accordance with Renaissance procedure; prepare new lease packages as needed, confirming compliance with all applicable regulations and internal policies

b. Proactively pre-lease occupied units using Renaissance renewal procedure; recertify tenants at renewal in accordance with all LIHTC rules/regs, preparing all lease documentation, Tenant Income Certifications, calculations, and submissions

c. Complete Compliance corrections promptly

d. Conduct physical and Yardi property audits to maintain electronic files (shred paper) and keep Yardi dashboard current

e. Confirm documentation for each tenant: parking, pets, bicycles, and/or storage units

f. Complete parking tax calculations

II. REPORTING

a. Class 9 / CLIHTF

b. AOC-COC, submissions

c. City of Chicago Benchmark

III. ADMINISTRATION

a. Retrieve voicemails for TKR, RSL, and WPR; email leads to appropriate party

b. Teach residents how to submit work orders online via Rent Café (in person at TKR, over the phone for RSL and WPR)

c. Assist with rent collection, in person for TKR, over the phone for RSL and HWP

d. Assist with creation and distribution of 5,10, 30 days notices for TKR

e. Assist in open houses occasionally

Requirements:

Skills, Knowledge, Abilities and Qualities Required

  1. Experience with tax credits, preferred
  2. Proficient in Microsoft Word and Excel; experience with Yardi, preferred
  3. Valid leasing license (or obtain within 90 days of hire)
  4. Knowledge of computer systems, computers, office equipment and clerical procedures is important to perform the tasks required
  5. Professional organizational and interpersonal skills; empathy and compassion to connect with co-workers; inspired to serve the needs of our customers
  6. Must use imagination and creativity to motivate self and others
  7. Ability to timely and effectively follow up on all documentation
  8. Ability to effectively communicate with co-workers and senior management
  9. Ability to maintain regular attendance
  10. Ability to handle customer/employee complaints and issues including situations where customers/employees may be angry and/or upset
  11. Ability to read, write and follow oral and written direction in the English language at a level adequate to perform the job duties
  12. Maintain and encourage a positive work atmosphere by behaving and communicating in a manner that promotes cooperation and positive, memorable experiences for co-workers, managers and others with whom contact is made
  13. Capable of performing the essential job responsibilities of this position with or without reasonable accommodation
