WHO WE’RE LOOKING FOR:

Reporting to the SVP of Operations, we're in search of a dynamic and detail-oriented Sr. Resources / Operations Manager to join Ayzenberg Group.

This key role will be instrumental in enhancing our operational efficiency and resource allocation, ensuring that retainers, campaigns, and projects (with a focus on social) are strategically staffed, within budget, and measured and optimized to achieve the highest standards.

Responsibilities:

  • Act as the central resource manager, liaising between Project Managers (PMs), team discipline leads, and resources to ensure optimal allocation and utilization.
  • Prioritize and allocate workloads effectively, adjusting timelines as needed in collaboration with PMs.
  • Monitor project codes for the business group in our system (Workamajig), including scheduling resources as necessary, ensuring correct project setup, and verifying hours, dates, and other pertinent details.
  • Lead and prepare for weekly resourcing meetings with PM and in team discipline leads.
  • Analyze and report on allocations versus actual time spent, identifying, and resolving discrepancies.
  • Oversee monthly job closures, block time entries, and follow up on outstanding time entries and expenses.
  • Assist in creating new monthly project codes and reviewing/adjusting jobs created by PMs.
  • Analyze burn on monthly jobs, flagging any concerns to group leadership and preparing solutions.
  • Manage SOW and contract workflow, routing them through internal stakeholders for approval.
  • Approve and monitor group expenditures, inclusive of employee expense reports in Workamajig.
  • Communicate with freelancers regarding offers, time allocation, equipment, and software needs as well as assist in onboarding new hires.
  • Contribute to new business efforts by supporting proposals by providing estimates, scopes of work, assisting in project setup, and staffing.
  • Coordinate travel arrangements, gifts, and catering with reception staff and handle various logistical tasks for client related meetings.
  • Partner with managers to review and approve out-of-office (OOO) requests as the centralized point of contact for the group, monitoring key dates and FTO (Flexible Time Off).
  • Collaborate with internal specialized vendors, known as a.dots, on requests.
  • Arrange and sometimes lead training sessions to provide valuable learning opportunities for the team.

WHAT YOU'LL (IDEALLY) BRING TO THE TABLE:

  • Bachelor’s degree in administration, operations management, or a related field.
  • 5 years of experience in operations, resource management, or related roles within a marketing or creative agency.
  • Strong understanding of project management methodologies and resource allocation practices, especially within social media campaigns and projects
  • Proficiency in project management tools (e.g., Monday.com, Trello) and Microsoft Office Suite.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively across unique sub-teams.
  • Detail-oriented with exceptional organizational and problem-solving abilities.
  • Experience in managing contracts, SOWs, and budgeting.
  • Demonstrate leadership skills and maintain a calm demeanor, adeptly guiding contacts through challenges and fostering a collaborative and productive work environment.
