Description

Summary:

This position is primarily responsible for greeting prospects, professionally presenting the features and benefits of their assigned community and properly secure lease agreements from qualified persons. This position is also responsible for ensuring compliance of related laws and the paperwork associated throughout the leasing process by performing the following duties. This position requires only 32 hours/week.

Qualifications


ESSENTIAL DUTIES AND RESPONSIBILITIES:

Core duties and responsibilities include the following. Other duties may be assigned.

Understands and ensures adherence to all Fair Housing, Americans with Disabilities Act and Fair Credit Reporting Act and other laws related to leasing.

Remains proficient in all aspects of the HUD 4350.3 Handbook, Resident Selection Plan and Affirmative Fair Housing Marketing Plan, and any other subsidy of funding regulations (Affordable).

Ensures that all eligibility requirements are met, application preferences, and income targeting (if required) requirements are met (Affordable).

Performs resident screening and ensure that all prospective residents meet guidelines.

Completes all lease paperwork including related addenda and accept rents and deposits.

Completes all lease applications, assist with application verification and notify prospective residents of the results.

Types miscellaneous resident communication as needed.

Completes Guest Card information form on all prospects, send thank-you notes and perform follow-up.

Enters all prospects into leasing software and up-date information immediately.

Inspects move-outs and vacancies.

Performs clerical and other office management tasks, as assigned.

Reports issues and/or problems to the Property Manager.

Works with other staff in such a manner to maintain a cordial and efficient environment.

Updates required reports concerning leasing activities, etc on a daily basis and provide information to the Property Manager.

Organizes and files all applicable reports, leases and paperwork.

Coordinates all marketing events at the site.

Monitors turnover of units.

Inspects property when on grounds, pick up litter and report any service needs to maintenance staff.

Maintains a professional, yet friendly, atmosphere in the leasing office an other areas where prospective residents and current residents meet.

Inspects models and “market ready” vacancies daily to ensure cleanliness.

Greets prospective residents, qualify and determines needs and preferences, professionally present community and specific apartments while communicating features and benefits.

Maintains the waiting list, as requested (Affordable – must maintain waiting list based on regulations).

Assists with outreach marketing, contribute ideas to Property Manager for marketing community and improving resident satisfaction; maintain awareness of local market conditions and trends.

Manages and monitors leasing staff if directed and success of leasing program.

Assists with market surveys; shop competition.

Implements EIV process; verifies income, assets and medical deductions (if required by funding source) via third party; complete the certification process to confirm income eligibility (Affordable).

Completes certification file for approval by Property Manager (Affordable).

Coordinates move-in of new residents after admission approval by Property Manager (Affordable).

Assists with the orientation of new residents.

Fosters and maintains positive resident relations and excellent communications with resident.

Responds to resident questions, complaints, concerns and suggestions.

Attends scheduled meetings with Owner and/or agent.

Projects a positive community image for the owner and building.

Must be punctual and timely in meeting all requirements of performance, including, but not limited to, attendance standards and work deadlines; beginning and ending assignments on time; and scheduled work breaks; where applicable.

This job has no supervisory responsibilities.

QUALIFICATIONS:

EDUCATION AND/OR EXPERIENCE:

High school diploma or general education degree (GED); or one to three years related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS:

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

COMPUTER SKILLS:

No Computer Skills Needed.

CERTIFICATES, LICENSES, REGISTRATIONS:

  • Leasing Agent License or Sales/Broker
  • NALP Designation (Preferred)

OTHER SKILL, ABILITIES, AND QUALIFICATIONS:

  • Ability to complete forms; understand and implement compliance regulations; read and review reports and a wide variety of correspondence.
  • Ability to effectively communicate with residents (handle concerns, complaints and issues); vendors; owners; and staff.
  • Ability to inspect property, grounds and apartments.
  • Ability to work in a fast-paced, multi-faceted and customer service-oriented environment.
  • Must be able to work as a team, interact with others in a professional/pleasant manner and exercise problem-solving skills.
  • Must be able to apply principles of logical thinking or define problems, collect pertinent data, establish facts, draw valid conclusions and initiate appropriate course of action.
  • Must be willing to take direction and guidance.
  • Must be able to effectively communicate with a diverse population and group of personalities.
  • Oral Communication - Speaks clearly and persuasively in positive or negative situations; listens and gets clarification; Responds well to questions; Demonstrates group presentation skills; Participates in meetings.

  • Must be able to utilize basic math skills
  • Bachelors Degree or Associates Degree preferred.
  • Not less than 2 years experience in on-site management
  • 3 or more years’ experience in on-site management
  • Access to reliable transportation
  • Must be knowledgeable of all phases of leasing and resident retention.
  • The employee must be capable of adapting, with minimal or no advance notice, to changes in how business is conducted and work is accomplished, with no diminishment in work performance.
  • All employees are responsible for observing safety and security procedures as applicable and reporting potentially unsafe conditions to management within their shift, prior to clocking out for the workday.
