**Assistant Front Desk Supervisor**

**Client Care - Woburn, MA - Full Time**

**Massachusetts Veterinary Referral Hospital, located in Woburn, MA, is looking for a full-time Front Desk Assistant Supervisor to join the team.**

The **Assistant Supervisor** implements and maintains the highest level of service to clients and referring veterinary practices. The Assistant Supervisor must possess excellent communication skills and demonstrate these skills through supervision and coordination of the client care staff.

**Shift:** This is a Wednesday-Saturday, 3:00 pm-12:00 am shift

**Responsibilities:**

* Achieves company objectives in service, quality, the appearance of facility, and cleanliness through training of employees and creating a positive, productive working environment.

* Ensures that all clients feel welcome and are given responsive, friendly, and courteous service.

* Ensures effective communication within all departments within the hospital.

* Works in collaboration with Client Care Supervisor to maintain an accurate and up-to-date plan of current and future staffing needs for all roles.

* Participates in the recruitment and interview process with Talent Acquisition/People & Organization.

* Ensures that all staff are provided with tools, materials, and knowledge to continuously improve and grow in their roles

* Expediently responds to client communications, concerns or complaints, taking any and all appropriate actions to correct the issue or improve the clients experience.

* Participates in developing, maintaining, and updating training procedures to ensure that all current and newly hired client care staff members are trained and knowledgeable in all areas of the hospital.

* Responsible for ensuring that all assigned financial-related administrative duties are completed accurately, on time and in accordance with company policies and procedures. This includes accountability for daily sales reconciliation, adjusting invoices, reviewing invoices for accuracy, collecting past due balances etc.

* Providing necessary information & data to accountants and proper storage of sales receipts and accounting records including invoicing and sales data.

* Performs annual and introductory performance reviews on a timely basis.

* Provides mentoring, counseling and development of team.

* Effectively manages performance and, when necessary, facilitates disciplinary actions in collaboration with People & Organization.

* Monitors staff concerns, cultivates employee engagement and solicits feedback from employees regularly.

* Controls cash and other receipts by adhering to cash handling and reconciliation procedures in accordance with company policies and procedures.

* Fills in where needed to ensure client service standards and efficient operations.

**Education, License, and Job Requirements:**

* Associates Degree required, Bachelors Degree preferred or equivalent experience.

* Veterinary or Human medical experience required

* 1 years of supervisory experience in a customer service role.

* Proven experience in multi-tasking, prioritizing and delegating.

* High level of active listening skills and strong client service skills which includes the ability to resolve client issues/complaints with tact and diplomacy.

* Excellent problem-solving skills to detect changes in circumstances or events and ensure clients satisfaction.

* Must remain calm and work effectively in high-pressure and/or busy situations.

* Ability to promote effective communication between the client service staff, doctors and technical staff.

* Strong written and verbal communications skills and exceptional consciousness of non-verbal language.

* Demonstrated professionalism in all interactions and transactions.

**Physical Requirements:**

This is an emergency hospital in which you may remain standing on your feet for up to 6 hours at a time and may require stooping, kneeling, reaching, lifting, and carrying objects throughout your shift. You may be required to lift or move up to 25 lbs. throughout the course of the work shift
