Estate Planning Law Office is Hiring a Firm Administrator Near Burlington, MA

Job Description

Small Estate Planning/Elder Law/Probate Law practice seek a want to be rock star Firm Administrator who will provide administrative support to the firm while coordinating efforts of all staff to accomplish our shared goal of providing exceptional legal services to our clients. Likely a Full Time position but will consider a candidate who has all the qualities we need but can't work Full Time hours right now. Successful individual will be extremely well organized, possess HIGHLY proficient computer skills, accounting knowledge, efficient goal-oriented work style with a high level of detail that a law office requires, fabulous customer service skills, ability to prioritize workload, and enjoy working on elder issues. You will interact with clients in an office in Burlington, with bright windows, in a beautiful setting with a convenient galley.

Responsibilities:

  • Organize and manage work flow
  • Complete client intake forms, create new client files, scan documents, and draft/send routine correspondence
  • Manage document preparation; carefully coordinate revisions
  • Communicate outstanding items to lead attorney; provide follow up under direction of attorney
  • Schedule meetings, including calendaring, appointments; remind attorney of upcoming events
  • Proofread all documents and correspondence for accuracy
  • Manage admin/attorney emails
  • Answer/prescreen phone calls, take detailed messages; enter into database
  • Maintain and update databases (contact, time entry, files, templates)
  • Manage mail; greet clients
  • Routine tasks include banking, post office, office supplies and local document delivery
  • Prepare filings with appropriate courts and other authoritative agencies
  • Candidate will also have contact with clients, attorneys, and the courts, so strong communication and interpersonal skills are required
  • Maintain confidential information in a professional and trustworthy manner

Skills:

  • Energetic, self-starter who anticipates needs and has practical problem solving skills, good judgment and common sense
  • Able to utilize time and resources effectively
  • Demonstrated proficiency using Microsoft Office (Word, Outlook, Excel), Drop Box, and Amicus (or similar) legal office software. Microsoft Publisher, WealthCounsel/ElderCounsel a plus
  • Accuracy in typing (60 wpm) and proofreading; attention to detail essential
  • Able to work independently and as a team member, with potential to assume greater responsibility
  • Successful candidate will be pro-active, willing to move things forward
  • Able to communicate effectively with clients both by phone and in writing
  • Strong organizational and follow up skills
  • Positive attitude and demeanor; excellent communication skills (verbal and written)
  • Prior experience in Estate Planning, Probate, or Elder Law legal office strongly preferred
