Location: Esperanza Health Centers 

Position purpose: This position supports efforts that build and sustain organizational excellence at Esperanza, with an eye towards building organizational equity and generating opportunity. Reporting to Vice President of IT and working closely with the PACE team, EMR vendor and other IT team colleagues, this position will ensure the success of day-to-day learning activities at Esperanza PACE center. 

What is PACE?

PACE, or Program of All-Inclusive Care for the Elderly, is an alternative care model for those over 55 years of age requiring nursing home level of care which aims to keep participants living at home in the community. PACE is a collaborative, interdisciplinary approach which coordinates all levels of medical and social needs, including prevention, wellness, socialization, primary care, and access to specialists and other services.

Primary Duties and Responsibilities: (The following duties and responsibilities are all essential job functions except for those that begin with the word “May.”)

  • Work closely with department leadership to support learning and development solutions that address key organizational needs, with a focus on PACE Electronic Medical Record (EMR) workflows, configuration and training and data needs.
  • Serve as the primary contact for training and supporting various admin and clinical staff members on PACE EMR.
  • Execute key administrative tasks that may include setting up meetings between stakeholders both inside and outside of the organization, documenting findings around learning design and content creation, scheduling and managing training sessions, or developing and preparing new training materials.
  • Travel between sites as need arises.
  • The EMR Specialist will work with the PACE EMR Support team to manage the system configuration, change requests, create data reports, integration requests and troubleshoot issues.
  • Supports implementations, optimization programs, system upgrades, new-user education, and general needs of application-relevant end-users
  • Translates the functionality of the system configuration and workflow validations into a training environment; provides presentations and prepares and manages requirements for training sessions in collaboration with the project team
  • Manages the PACE EMR system regarding user access permissions, communicating updates and/changes and ensuring the system is meeting the needs of the organization.
  • Works with internal and external implementation team to develop timelines and training schedules for new acquisitions and integration requests.
  • Help creating Training videos, documents, emails etc.
  • Conducts audits of users to ensure the appropriate permissions are granted based on position.
  • Manages new and existing user access, terminating access when appropriate.
  • Works with compliance department to ensure the integrity of the EMR system is maintained.
  • Drive continuous improvement through trend reporting and analysis on key metrics.
  • Build, generate and analyze reports, collaborates with internal and external stakeholders including but not limited to teams like HR, Finance, Quality, Grants, External Affairs etc. to generate desired report/dashboard.
  • Become a subject matter expert with the PACE electronic medical record (EMR) and other data sources, reporting abilities. We want to help stakeholders become familiar with what questions we can answer with our data and what types of reporting capabilities we have.
  • Must be able to manage multiple tasks/projects simultaneously within flexible time frames.
  • Provide customer service in accordance with clinic mission.
  • Maintain patient confidentiality in accordance with policy and procedure and HIPAA requirements.
  • Perform other duties as assigned.

Requirements

  • Bachelor’s Degree with two years of experience OR equivalent work experience (minimum four years) at healthcare organization, required.
  • EMR experience required.
  • Ability to define problems, collect data, establish facts, create and optimize workflow and draw valid conclusions.
  • Clear verbal and written communication
  • Excellent organizational, analytical, and problem-solving skills
  • Proficient with Microsoft Office Suite
