Position Overview:
We are seeking a dynamic and experienced Firm Administrator to oversee the operational and administrative functions of our Firm. The ideal candidate will possess strong leadership skills, extensive experience in office management, human resources, budgeting, and financial reporting, and a proven track record of success in a similar role within the legal industry.
Responsibilities:
1. Office Management:
- Oversee day-to-day operations of the Firm, ensuring efficiency and productivity.
- Implement and maintain office policies and procedures.
- Manage facilities, equipment, and supplies to support the needs of the firm.
2. Human Resources:
- Lead the Firm’s human resource function, including recruitment, onboarding, training, performance management, employee relations and employee handbook issues.
- Ensure compliance with employment laws and regulations.
- Develop and implement strategies to attract, retain, and develop top talent.
3. Budgeting:
- Develop and manage the Firm's annual operating budget in collaboration with the President/Managing Partner and Management Team.
- Monitor expenses and financial performance against budgetary targets.
- Identify opportunities for cost savings and efficiency improvements.
4. Supervision of Staff:
- Provide leadership and guidance to administrative staff, including Legal Assistants, Paralegals, Accounting Manager, and other support personnel.
- Foster a positive and collaborative work environment.
- Conduct regular performance evaluations and provide feedback and coaching as needed.
5. Financial Reporting:
- Work with the Accounting Manager to prepare and present financial reports to the President/Managing Partner and Management Team.
- Analyze financial data to inform strategic decision-making.
- Ensure compliance with accounting standards and regulatory requirements.
6. Other Common Duties:
- Collaborate with the President/Managing Partner on insurance, professional and general liability renewals and retirement and benefit plans
- Coordinate with the President/Managing Partner and IT manager on IT planning and upgrades.
- Collaborate with department heads and practice group leaders to support the Firm's strategic goals.
- Serve as a liaison between management and staff, facilitating communication and resolving issues.
- Stay informed about industry trends, best practices, and regulatory changes affecting the legal profession.
Qualifications:
- Bachelor's degree in business administration, human resources, or a related field.
- Minimum of 5 years of experience in a management role within a law firm or professional services firm.
- Strong understanding of legal operations, including office management, human resources, budgeting, and financial reporting.
- Excellent leadership, communication, and interpersonal skills.
- Proven ability to manage multiple priorities and drive results in a fast-paced environment.
- Knowledge of relevant laws, regulations, and ethical standards governing the legal profession.
