EquipmentShare is searching for a Government Contract Administrative Assistant for our corporate office in Columbia, MO, to support our team as the department continues to grow.

EquipmentShare is seeking a Government Contract Administrative Assistant to be responsible for (Add in some job duties - ex. Responsible for leading the team, being the cheerleader for sales, etc.)

Primary Responsibilities

  • Assist in effectively enforcing contracts made with the government, contractors, employees, suppliers, or clients
  • Closely review contract documents for accuracy, prepare and distribute contract documents for execution, review incoming and outgoing correspondence, maintain and organize physical and electronic contract files, and prepare reports.
  • Audit contracts, and documentation, enter contracts into the database, and customer services
  • Maintain, update, and support all online sites and tools associated with Federal, State, Local, and Education contracts
  • Update processes and procedures as needed to reflect changes
  • Coordinate meetings, travel arrangements, conference calls, video conferences, staff training, departmental budget, and expense reports.
  • Schedule and maintain contract database and management-level schedules/calendars
  • Assemble information from numerous departments and create presentations for meetings regarding the contracting process.
  • Handle the Freedom of Information Act and other requests from Federal customers or agencies.
  • Maintain government contracts files in auditable form, including managing data production to the government during government audits and investigations.
  • Must be open to occasional travel (20%) across the United States

Skills & Qualifications

  • Bachelor's degree or equivalent is preferred
  • Minimum of 2-4 years of experience as an administrative assistant or executive assistant or similar role
  • Knowledge of and experience with government contracting concepts, including FAR and DFAR requirement
  • Ability to maintain a high level of confidentiality
  • Excellent verbal and written communication skills and problem-resolution abilities
  • Ability to interact professionally with people at all levels of the organization
  • Ability to thrive in a dynamic, high-pressure environment and handle numerous competing demands
  • Ability to prioritize tasks and adapt quickly to changes while remaining diligent through each task performed
  • Strong time management and organization skills to track and monitor contracts for future obligations, expiration dates, and other contractual deadlines
  • Strong computer and word processing skills, including the ability to learn and adapt to new systems and productivity tools
  • Broad-based computer software knowledge and database management expertise
  • Experience with GSA Schedules Program and multi-award IDIQ contract vehicles and related online systems
  • Excellent organizational skills and attention to detail
  • Excellent judgment, integrity, and the highest ethical standards
