Job Description

Job Description

The Opportunity

SAFE was founded in 2004 to reframe the debate on energy and increase awareness of the dangers of oil dependence and the need for more diverse sources of energy in transportation. Leading the conversation on energy and transportation policy, SAFE produces high-quality, fact-based analysis and policy recommendations for lawmakers, regulatory agencies, and the public with the goal of bolstering the economic and national security of the United States and its allies. Our organization convenes industry executives, policymakers, former military leaders, and other stakeholders to advance a range of initiatives in the energy, climate, and industrial policy realms.

SAFE’s sister organization the Electrification Coalition (EC) is a national, nonpartisan, not-for-profit organization committed to promoting policies and actions that facilitate the accelerated deployment of electric vehicles (EVs) on a mass scale.

Position Summary: SAFE and the EC are seeking a highly-motivated and detail-oriented individual to join our team. This individual will provide comprehensive support to the CEO and the Executive Team. This position requires the ability to anticipate needs, think critically, offer solutions with a high level of professionalism and confidentiality, and collaborate with a diverse team across disciplines.

Key Responsibilities

  1. Brand building and fundraising support
    1. This individual will proactively work to put the CEO in the right places at the right time. They will support the CEO, Development Team, Communications Team and Leadership Team in identifying and preparing for a range of outward-facing events and meetings, from identifying opportunities for the CEO to speak on conference panels to helping to build a productive trip around planned meetings.
    2. In addition, this person will gather and print dossiers, leave-behind materials, and other items as determined in advance of CEO meetings and trips.
  2. Travel Management
    1. This individual will be responsible for sophisticated travel arrangements and conference registrations for the CEO, Leadership Team, and Development Team and, on occasion, other staff, members of the Board, or Energy Security Leadership Council.
    2. The focus will be on strategy and organization of domestic and international trips with appropriate companies, policymakers, forums/conferences, and potential funders.
    3. This will include creating and managing trip itineraries and coordinating with development, communications, policy and other staff.
  3. Scheduling and general administrative support
    1. This individual will assist with calendar management for the CEO and a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization. This will include communicating the CEO’s schedule with the Leadership Team every Friday, noting the upcoming week’s schedule and any meetings from the week that were canceled or rescheduled.
    2. This individual will schedule multi-executive meetings (internal and external). They will also send meeting updates during the week as they are amended.
    3. In addition, this individual will provide general administrative support for the larger team as needed, with a focus on supporting Executive Directors and the HR function.
    4. The individual will also track contacts, manage contacts in Salesforce, and ensure CEO communication with key parties.
  4. Where appropriate, this person will attend some domestic meetings as well as internal and external virtual meetings in order to take notes, communicate action items to internal stakeholders, and manage execution of CEO deliverables.
  5. Other responsibilities not listed may be added based on the individual’s skills and background.

  • Minimum 2-4 years of experience in a fast-paced environment
  • Exceptional project management skills, with the ability to manage multiple projects simultaneously, prioritize tasks, and meet deadline.
  • Strong interpersonal and communication skills, with the ability to effectively collaborate with cross-functional teams and interface with VIPs. Ability to remain cool under pressure and work proactively towards solutions if things don’t go as planned.
  • Excellent attention to detail
  • Passion for energy, climate, and industrial policy issues and a desire to contribute to meaningful change in these areas.
  • Willingness to pitch in where needed!
