Job Title: Office Manager

The Office Manager serves as the administrative hub for our dynamic and fast-paced aerospace testing facility. As the first point of customer contact, the Office Manager supports customers through phone and email correspondence, receives documentation on incoming orders, and dispatches receiving staff to load and unload customer vehicles. In addition, this position is responsible for reviewing purchase orders, generating sales orders and certifications, and scheduling shipments and preparing shipping documents. Understanding technical requirements and experience reading blueprints will be a benefit. A successful candidate for this position will value thoroughness, have a keen eye for detail, and be able to meet our customers’ expectations of accuracy, quality, and responsiveness.

Responsibilities include:
· Answer customer phone calls and emails.
· Provide customers with basic support regarding due dates, payments, order documentation, and shipments.
· Direct calls and emails to staff members.
· Receive customer deliveries and process customer paperwork.
· Review, rectify, and approve customer purchase orders.
· Generate sales orders, shop travelers, packing slips, and other documentation using Quickbooks.
· Log incoming and outgoing orders.
· Scan and securely store blueprints, shred physical copies of blueprints.
· Utilize customer portals to ensure receipt of completed orders, process payments, and post payments into accounting software.
· Review completed sales orders to ensure documentation quality and test inspection completion.
· Scan, file, and distribute completed documentation.
· Generate certifications containing technical information with a high degree of accuracy.
· Email invoices to customers.
· Perform price analyses based on historical pricing data.
· Order office and shop floor supplies.
· Prepare paperwork for and schedule shipments via UPS, FedEx, freight companies, and customer shipping departments.
· Prepare shipment paperwork for Shipping department to ensure rapid customer pick-up.
· Follow up with customers on issues that caused job stoppages to resolve in a timely manner.
· Post customer payments through QuickBooks.
Required Qualifications:
· High School Diploma or GED.
· Prior experience working as an office administrator.
· Experience using and managing Quickbooks.
· Ability to read and process a blueprint is a strong plus.
· Strong work ethic – we work hard to ensure a timely turn-around for our customers. This position plays a major role in ensuring a smooth operation.
· Communication skills – effective interpersonal, written, and verbal communication skills are important to the function of this job.
· Attention to detail – in this detail-oriented industry, this job requires a keen eye to details both small and large, to ensure all standards and requirements are being met.
· Ability to lift at least 30 lbs.
· Relevant experience in the manufacturing industry a plus.
