About Emily Baird Design

Emily Baird Design is a boutique wedding and event stationery design house newly based in Carlsbad, California. Specializing in luxuriously embossed and impeccably detailed paper goods, we aim to create heirloom keepsakes for our clients and their event guests, setting the tone for their truly epic celebrations.

As we transition from our East Coast-based business to the West Coast, we are looking to expand our small team by hiring a Production Manager.

Job Description

The Production Manager will be a vital member of the Emily Baird Design team, getting to experience and partner on numerous aspects of running a small creative/art-based business. We hope that this will be an exciting, fast-paced opportunity for a candidate who enjoys working in a small team environment where no day looks exactly the same as the last.

This job will consist of helping with tasks related to invitation assembly, quality control, project management, and general office work (i.e. shipping, mailing, and supply monitoring).

Invitation Assembly (this is a large part of the role)

  • Assembling invitations, including taping, ribbon tying, mounting, stuffing, stamping, and sealing.
  • Organizing paper goods for invitations as well as event day stationery (including alphabetizing, sorting, and cross referencing Excel spreadsheets).
  • Packing quality “extras” boxes for clients that support customer perception of Emily Baird Design brand quality.

Quality Control

  • Catching print errors and managing quality control for pieces that leave our studio, e.g. culling and pulling out cards with smudges, bent corners, and imperfections.

Project Management

  • Corresponding with clients from receipt of printed goods through to when those projects are assembled and completed (e.g. collecting stamp preferences and address lists, catching client errors, and asking clients any questions needed during the assembly process).
  • Becoming familiar with print orders that are incoming for preparedness before they arrive, i.e. awareness of clients’ names, quantities, and the separate components of the suite.
  • Communicating clearly and bringing concerns and questions to Emily during assembly in a timely manner.
  • Thinking critically to determine priorities, seeking the best possible outcomes for the entire project load and prioritizing urgent deadlines as opposed to personal preference of work order. Our ideal candidate will also be comfortable having Emily create the assembly schedule as needed.
  • Hour tracking for time spent on jobs (allowing us to use that data to predict and plan future production schedules and to bring in additional help as needed).

General Office Tasks

  • Breaking down boxes and general upkeep with boxes and paper clutter entering the studio (during busier seasons this task is not expected)
  • General understanding and monitoring of available supplies and informing Emily when stock is low, before a supply runs out
  • Any other duties as assigned, such as UPS and USPS mailing and errand running for EBD projects

Skill Sets & Qualifications

  • Strong sense of punctuality and time management
  • Ability to balance efficiency with a high quality output, including the ability to switch tasks quickly between projects and “triage” more urgent jobs
  • Ability to manage pieces of multiple projects and deadlines simultaneously
  • Professional organizational, communication, and proofreading skills, as well as great attention to detail when assembling and interacting with clients via email
  • Positive and solution-driven attitude in an often fast-paced environment
  • Customer service minded, staying cool and collected when managing challenging or high maintenance luxury clients
  • Ability to carry and lift 30 pounds (i.e. boxes from our print partners)
  • Bonus: experience in luxury markets or environments, preferred but not required

Estimated Salary Range

$40,000 to $60,000 (pay commensurate with previous project management experience, with options for paid overtime during busy season)

Typical hours are from 8am to 4pm Monday-Friday. During our particularly busy seasons, Production Manager may be needed for longer hours or overtime (including the occasional weekend). This is not terribly common but does occasionally arise, and Production Manager will receive notice and be paid for all overtime.

Job Type: Full-time

Pay: $40,000.00 - $60,000.00 per year
