Operations Manager; 150 Van Ness

Join our team located in the heart of downtown San Francisco. The primary responsibilities of the Operations Manager (OM) are to support the Property Manager in the management of the community on a day-to-day basis, ensure maximum financial and operational performance of the property. The OM must possess excellent leasing skills and have familiarity with all leasing and operations functions.

Basic responsibilities include but are not limited to:

  • Greeting all residents, future residents and internal team members in a professional manner
  • Facilitating all aspects in the apartment leasing process
  • Effectively communicate to existing residents and execute a successful renewal program.
  • Support the Property Manager in recurring accounting functions and processing of customer service requests (including maintenance work orders).
  • Responsible for weekly/monthly reports and activities to include but not limited to receiving and posting of rent checks.
  • Assist in maintaining office clerical, filing and record keeping systems. Identify and strive to meet the resident’s needs.

Operations Manager may also be called upon for the following:

1) Marketing, including periodic market surveys, as requested. Assist with preparation of newsletters and promotion flyers.

2) Lease Administration, all aspects to show units, review and maintain Welcome packet, maintain legal records/files as well as daily activity into accounting system.

3) Assist with resident relations such as preparation and process of resident service requests, complaints. Resolve resident issues in a timely and professional manner.

4) Accounting policies and procedures to include process of rental payments, fees and deposits. Prepare weekly and monthly reports as required. Prepare legal notices, including evictions as necessary. Process and complete close of final account statements, manage aged delinquencies for property.

5) Supervisory responsibilities – may be called upon to aid Property Manager in staff management and direction when needed. This may include making independent decision on direction and guidance to property and staff. Reporting any changes or decisions to Property Manager or Regional Director when necessary. Oversee and coach staff.

6) Assist with the planning of community activities and events.

Ideal candidates will have:

· Minimum 3 years’ experience as an assistant property manager or leasing agent for multifamily

· Computer proficient in Windows, MS Office, Word, Excel and Outlook. Experience with One Site preferred.

· Excellent multi-talking skills with self-motivation and self-direction in a fast paced work environment.

· Working knowledge of eviction law, Fair Housing mandates, and other legal issues affecting property management. ARM, CPM or CAM designations are preferred.

Physical Requirements: Extensive mobility required. Must be able to perform the physical functions of the position, which may include, but are not limited to: ability to walk property, including 4 flights of stairs, to complete physical inspections, deliver resident communications, and show apartments. Significant Typing and computer use required. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this Job, the employee is regularly required to stand; walk and talk or hear. The employee is frequently required to sit; use hands to finger, handle, or feel and reach with hands and arms. The employee must occasionally lift and/or move up to 30 pounds. Familiarity with Onesite including Yieldstar or similar CRM software.
