Job Title: Mechanical Service Coordinator – Sacramento, CA.

Department: Sacramento Mechanical Service

Summary: The Mechanical Service Coordinator is responsible for dispatch and coordination of mechanical service technicians, billing of all mechanical service work order, PM billings, and projects, PM’s, Service Orders, and quoted work set-up in ER, Timecards and payroll, customer service, parts and material ordering, and data entry as require. In addition, the coordinator will work with the Bas Coordinator and Project Coordinator to cover each other’s shifts when necessary.

The responsibilities include, but are not limited to:

Manages, trains, and evaluates assigned personnel in the performance of work order generation, service dispatch, and scheduling technician work activities.

Service as liaison with customers, engineering, and technicians throughout contract administration on projects; assists in developing projects, scopes, and proposals.

Provides input on performance of techs and meeting customer expectations and requirements. Reviews wor order reports within quality and timely completion.

• Mechanical Service Billing

o Prebilling preparation for accounting

o Manage unique billing requirements of special customers.

o Research parts and material prices for billing.

o Research overdue service work order tags to be billed.

o Research billing issues/ci edits/rebi1ls/customer requests.

• QA/QC billings before submission to accounting.
• Generate time and material transfer forms for GL accounting.
• Parts/Material Tracking & Ordering
• Mechanical Service timecards

• Dispatch

o Taking service calls

o Generating work orders

o Scheduling of techs (s/c & PM’s)

o Job Site generation

o New location generation (new form)

o Manage COINS and Outlook calendar.

o Confirm service calls a day ahead.

• PM’s (Mechanical Preventive Maintenance)

o Electronic Form

o Renewals

o Scheduling

• End of Month Report

o Input all billings into Billing Log & Month End Report

o Pull Work order Summary ledger.

o Calculate non-revenue hours per month. 

Qualifications/skills and Knowledge Requirements:
