Title: Operations and Administrative Assistant

Overview:
We are seeking a detail-oriented and proactive Operations and Administrative Assistant to join our team. This role is pivotal in ensuring the smooth operation of our business by providing comprehensive administrative support and assisting with various operational tasks. The ideal candidate will possess strong organizational skills, excellent communication abilities, and the capability to handle multiple responsibilities efficiently.

Responsibilities:

Administrative Support:

  • Manage executives' calendars, including scheduling meetings, appointments, and conference calls.
  • Screen and prioritize incoming calls and emails, responding or redirecting as necessary.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Maintain and organize electronic and physical filing systems.
  • Coordinate travel arrangements and accommodations for staff members as needed.
  • Assist with the preparation and distribution of internal communications and announcements.
  • Manage office supplies inventory, ordering new supplies when necessary.
  • Handle incoming and outgoing mail and packages.
  • Welcome and assist visitors, ensuring they are directed appropriately.
  • Collaborate with other administrative staff to ensure office operations run smoothly.

Operations Support:

  • Assist in the implementation and monitoring of operational procedures and policies.
  • Participate in the planning and execution of company events and meetings.
  • Support the onboarding process for new employees, including paperwork and orientation.
  • Assist in basic accounting tasks, such as processing invoices, expense reports, and reimbursements.
  • Coordinate with vendors and service providers to ensure timely delivery of goods and services.
  • Maintain office equipment and arrange for repairs or replacements as needed.
  • Assist in compiling data and preparing reports for management review.
  • Help identify opportunities for process improvements and efficiencies.
  • Support special projects and initiatives as assigned by management.

Qualifications:

  • Proven experience (1-3 years) as an administrative assistant, office assistant, or in a similar role.
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational and time management skills, with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills.
  • Attention to detail and accuracy in all work.
  • Ability to handle sensitive information with confidentiality and discretion.
  • Flexibility and adaptability to changing priorities and deadlines.
  • High school diploma or equivalent; additional qualifications in Office Administration or Business Administration are a plus.
