Conference Services Event Planner within Enterprise Workplace Solutions. This position has responsibility for helping logistically manage, plan, and facilitate internal conferences for the firm while also providing a high level of customer service to associates and business areas in the planning process. Decisions must ensure collaboration with a variety of roles and support functions within the business area.
Responsibilities frequently include supporting associates and leaders to help plan their internal event with a timely and cross collaborative demeanor , developing & executing process enhancements to help the area support more events, providing high levels of customer service to key stakeholders, and supporting all growing aspects of the Conference Services team.

The position may have a variety of daily and periodic responsibilities based on the business area, and requires a strong working knowledge of event planning or a high degree of knowledge in space and logistics with data reporting.

Other responsibilities may include:

  • Main point of contact for the Business Owner:
    • Responsible for establishing and maintaining relationships with event business owners throughout the firm.
    • Attend meetings with the business owners to gather meeting requirements, provide templates and updates, and provide travel and event expertise to the business owner.
    • Conduct an annual planning process with business owners.
    • Hold business owners accountable for the agreements that have been set.
    • Educate business owners on the process and guidelines.
  • Lead planning for events:
    • Outline and establish project plans/timelines and communicate to the department to implement event details.
    • Work with the other teams (Execution, Service, Data/Reporting) on meeting and reporting requirements and knowledge about the event. Bring in other team members as appropriate.
    • Review event details (e.g., agendas, lists)
    • Work with necessary vendors for event execution details (including, but not limited to, hotels, catering companies, and AV companies)
    • Oversee on-site support, when applicable
    • Select and negotiate local one-time contracts when needed. (e.g., hotels, catering, AV, guest speakers)
    • Manage the costs of the event against cost projections and communicate appropriately.
    • Conduct event and space planning (take requirements and transfer them into available space)
    • Utilize Department's Event Management software to effectively plan all meetings according to the Department's guidelines and best practices
    • Work with leadership and the team to set event best practices.
    • Identify and implement operational efficiencies by collaborating with leadership and the department.
  • Bachelor's degree required or equivalent work experience.
  • Planning (CME) license preferred.
  • Travel 2-3 times per year.
  • 2- 3 years of event planning required.
  • Ability to coach and mentor other associates.
  • Intermediate computer skills are required, including effective use of Microsoft Office applications, Microsoft Edge and Chrome. The position requires proficiency of applicable Edward Jones systems.
  • Ability to utilize EMS platform to create, manage, and execute Firm meetings, training programs, and events.
  • Customer service experience required.
  • Manage deadline and multiple priorities
