 JOB DESCRIPTION

Title: Special Education Coordinator’s Secretary

Department: Special Services Center

Immediate Supervisor: Special Education Coordinator or Director of Special

Services

Job Goal: Performs a variety of secretarial duties for the Special

Education Coordinator and faculty.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Answer telephone calls requesting information and refer calls to the appropriate certified staff.
  2. Scan records into an electronic filing computer system of new records, as well as respond in a timely manner of records requests from other school districts.
  3. Send letters to eligible students (18 years or older) or guardians regarding the destruction of the paper file after 60 days upon the student graduating from high school. Electronic student special education records must be maintained 5 years.
  4. Greet parents and gather proof of residency requirements on Child Find students who enroll during the summer months, or for residential/partial hospitalization facilities throughout the school year, including entering data into the student management system.
  5. Schedule meetings for Summer TPCs/Sooner Start Personnel & Child Find.
  6. Extended School Year (ESY) secretarial duties -Gather ESY documentation from Special Education Staff and determines if any forms are missing. Maintain and update ESY database. Assist coordinator in setting up notebooks for each special education staff member regarding detailed information on students enrolled for ESY
  1. Schedule interviews to hire ESY staff.
  2. Type and disseminate class lists to Special Education Staff.
  3. Gather and disseminate data and parent contacts from ESY to the teacher of record at the end of summer.
  4. Serve as the ESY Elementary or Secondary Secretary during the summer.
  5. Other ESY duties as assigned by the Special Education Coordinator.

  3. Professional Development training for TAIIs, and certified staff including sign-in sheets, agenda, handouts, etc.
  4. Special Education records.
  5. Assist the Special Education Coordinator with monthly updates of the Teacher Assistant (TA II) list of employees and site/program assignments
  6. Clerical support for Director of Special Services, Special Education Coordinator, Special Education Teacher Consultants, Speech Pathologists, OT/PTs, School Psychologists, and School Nurses.
  7. Performs other duties as may be assigned.

Length of Contract: Two hundred forty (240) contract days. Salary commensurate with experience on the negotiated agreement of the Support Employees of Edmond (SEE).

Evaluation: Performance of this job will be evaluated by the Special Education Coordinator or the Director of Special Services in accordance with the provisions of the Board's policies, state law, and the negotiated agreement with the Support Employees of Edmond (SEE).

QUALIFICATION REQUIREMENTS:

EDUCATION AND/OR EXPERIENCE:

High School Diploma or General Education Degree (GED).

Secretarial/Clerical experience preferred.

CERTIFICATES, LICENSES, REGISTRATIONS:

None required.

LANGUAGE SKILLS:

Ability to read, analyze, and interpret information provided by supervisor. Ability to write or edit basic reports, business letter correspondence, and office procedures. Ability to effectively present information and respond to questions from various groups, such as staff, parents, and the general public.

MATHEMATICAL SKILLS:

Ability to assist in planning budgets and use the mathematical skills required to do so. Maintain accurate records and support documentation for projects under the supervision of the position.

REASONABLE ABILITY:

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

OTHER SKILLS AND ABILITIES:

Ability to use computer and computer related programs and other technologies needed to perform essential job functions. Ability to establish and maintain effective working relationships with students, staff, and the community. Ability to communicate clearly and concisely both in oral and written form. Ability to perform duties with awareness of all district requirements and Board of Education policies.
