Position Overview: Associate Dental Office Manager

We are looking for a skilled and experienced Associate Dental Office Manager with a strong background in dental assisting to support our doctors and ensure seamless patient care. This role will encompass both back-office responsibilities, including chairside assistance for our Spear-trained doctors, and front-office tasks such as treatment plan presentations, phone etiquette and dental administrative duties.

Responsibilities:

- Provide exceptional customer service during patient interactions, whether in person or over the phone.

- Proficiently assist in chairside procedures, including Invisalign scans and patient education/treatment presentations, as well as indirect cosmetic restorations like veneers, inlays, and onlays.

- Present treatment plans involving Invisalign, veneers, inlays, and onlays.

- Efficiently schedule and confirm patient appointments according to operational standards.

- Complete insurance verifications before patient visits, ensuring coverage and benefits limits are understood.

- Submit electronic insurance claims and pre-authorizations for patient treatment.

- Process patient payments using various methods, including credit card terminals and Care Credit.

- Assist in the check-out process by reviewing charts to ensure accurate information and documented procedures.

- Maintain daily scanning and filing of patient documents.

- Keep both back-office and front-office areas clean, sterilized, and organized.

- Display basic knowledge of dental terminology and procedures.

- Fulfill any other duties and responsibilities as assigned.

The Ideal Candidate:

- Holds an active DA or RDA license, preferred for assisting doctors and presenting cases chairside.

- Brings extensive experience in treatment plan presentations, particularly for significant cases such as veneers, laser whitening, Invisalign, inlays, and onlays.

- Exudes a bubbly personality with exceptional customer service skills, excelling in both in-person and phone interactions.

- Demonstrates exceptional conflict management abilities and can effectively handle challenging patient situations.

- Possesses a growth mindset and adapts positively to changes.

- Excels in dental chairside, sterilization, X-Ray, and administrative skills.

- Exhibits excellent customer service skills with professional and courteous phone etiquette.

- Has an extensive understanding of insurance and dental terminology.

- Is proficient in using the Internet, Microsoft Word, Excel, Gmail, and has fundamental keyboard skills.

- Has experience with our practice software like DENTRIX, MANGO VOICE, MODENTO, DENTAL INTELLIGENCE (A BIG PLUS).

- Demonstrates strong organizational skills and the ability to multitask effectively.

- Is known for being punctual, reliable, and a dedicated team player.
