Position Description:

Ecompex is recruiting for an Administrative Coordinator to provide financial support services to the Air National Guard and Army National Guard to ensure adequate funding to support various missions. The candidate must have specialized experience related to planning, programming, budgeting, and execution processes. Some responsibilities required of this role can include managing and organizing documents and shared files, preparing meeting notes, tracking project milestones, briefing executives, developing training material and coordinating training events among other administrative duties.

Minimum Qualifications:

  • Must be a US Citizen.
  • Must have an active Secret security clearance.
  • Must possess a B.A. or B.S. degree in a related field.
  • Must have 5 or more years of relevant administrative experience.

Desired Qualifications:

  • Extensive experience with Microsoft Office suite including SharePoint, Word, Excel.
  • Strong communication, written, and verbal skills.
  • Experience working with the DoD or National Guard bureau (NBG).

Required Skills:

  • Experience utilizing Enterprise Task Management System (ETMS)
  • Experience developing training materials and conducting training sessions.
  • Experience with writing detailed meeting notes and tracking meeting minutes.
  • Experience maintaining and organizing documents and shared files.
  • Experience briefing reports and presentations to executive leadership.

Responsibilities:

  • Review classified and unclassified Enterprise Task Management System (ETMS) tasks within Government areas, ensuring proper assignment, monitoring, and completion within established timelines.
  • Provide daily input for completing ETMS taskers, preparing information papers, analyzing DoD/JCS products, and developing briefing packages.
  • Input approved taskings from NGB Comptroller to appropriate staff sections via ETMS.
  • Provide weekly updates to the NGB Comptroller on ETMS staffing progress and ensure timely acceptance by ExecSec.
  • Input and update the Senior Leader Strategic Calendar to reflect timelines and milestones accurately.
  • Attend relevant educational courses, conferences, and briefings to enhance technical knowledge and software management skills.
  • Provide overall management and direction for contractor personnel supporting the Planning, Joint Operational Requirements, and Program Budget Review Tasks.
  • Take meeting notes and provide executive summaries to the Government lead.
  • Fully coordinate NGB’s input on draft documents received from OSD and JS.
  • Maintain and organize documents within shared files according to Government layout.
  • Support preparation and execution of reviews related to National Guard leadership participation in DoD Governance meetings.
  • Engage with Subject Matter Experts (SME) within DoD and/or civilian entities to complete duties.
  • Establish and maintain a document archive accessible to archive past processes/products.
  • Conduct monthly reviews, update, monitor, and perform records management for physical and electronic file repositories.
  • Provide weekly meeting minutes and summaries.
  • Draft Strategic Plan of Actions and Milestones (POAM).
  • Develop training presentations.
  • Conduct submission and process training.
  • Develop feedback questionnaire for lessons and analyze feedback.
  • Draft presentations for senior leadership.
  • Coordinate and schedule training events.
