Eau Claire Insulation & Exteriors is Hiring an Office Support Specialist (F/T) Near Eau Claire, WI

Office Support Specialist

Eau Claire Insulation & Exteriors, an expanding Eau Claire business, has an immediate opening for a Office Support Specialist at our Eau Claire location. The Office Support Specialists is a key player in ensuring the productivity and efficiency of the business. We are looking for an organized and reliable individual with strong customer service focus and solid accounting/bookkeeping skills who thrives in a team environment. Primary Duties:

* Answer and transfers phone calls, screening when necessary.

* Welcomes and directs visitors and clients.

* Process mail and distribute as needed.

* Maintains office supplies and coordinates maintenance of office equipment.

* Verify, update & maintain customer account information.

* Maintenance of employee payroll:

  • enter employee daily work sheets and generate weekly payroll reports.
  • process employee payroll into QuickBooks.
  • record & submit federal & state payroll taxes.

* Create & maintain personnel records:

  • create & process new hire paperwork.
  • maintain all personnel records.
  • record, file & report employee attendance records.

* Process contribution benefit files:

  • review & activate new employee benefit accounts.
  • submit employee benefit changes as needed.
  • enter new/change of benefits into QuickBooks for payroll.

* Develop customer receivable accounts:

  • process work orders for costing information.
  • create invoices.
  • file customer invoices.
  • e-mail/mail customer invoicing.

* Process account receivable payments:

  • apply incoming customer payments.
  • document payments and file paid invoices.
  • communicate with Sales Dept. any payment discrepancies.
  • create QuickBooks deposits and process bank deposits.

* Maintain & track accounts receivables:

  • generate and distribute an A/R report bi weekly for office meeting.
  • work to recover past due receivables.
  • assist with delinquent/collection filings.

Other duties:

  • enter and process purchase order data.
  • review and maintain inventory pricing.
  • Assist all departments as needed and perform other related duties as assigned.

Required Skills/Abilities

  • Excellent verbal & written communication skills.
  • Excellent interpersonal and customer service skills.
  • Proficient in Microsoft Office, Outlook and Internet applications.
  • Knowledge/experience in QuickBooks and web design a plus.
  • Excellent in organizational skills and attention to detail.
  • Valid drivers license.
  • Dependable, reliable and the ability to work independently.
  • Hours of work required: 8:30 a.m. - 5:00 p.m., M-F (30 min lunch)
  • Attend work daily.

Education and Experience

  • High School diploma or equivalent required.
  • Two to three years of experience in administrative role, with payroll experience preferred.

Physical Requirements

  • Prolonged periods of sitting at a desk.
  • Prolonged computer work.
  • Must be able to lift up to 15 pounds at times.

Starting Pay:

$19.00/hr. - $22.00/hr. starting pay, based on experience. Knowledge of QuickBooks a plus!
