Position Summary

The Experience Ambassador is a pivotal role at East House's main office, serving as the welcoming face for visitors and team members. This position is responsible for elevating the overall experience for clients, visitors, and employees. The Experience Ambassador embodies East House's Core Values, fostering a sense of community, and ensures that the reception area, switchboard, and general office operations are managed with a focus on detail, kindness, professionalism, and clarity.

Essential Functions:

Reception

  • Perform opening and closing duties, maintaining a welcoming environment.
  • Ensure proper utilization of the daily sign-in book and welcome visitors professionally.
  • Maintain confidentiality, focusing on HIPAA standards when announcing visitors or transferring calls.
  • Keep reference files for staff and clients, manage transportation services information, and maintain cleanliness in common areas.
  • Act as a point of contact for Facilities, managing transportation logs and key boxes.
  • Monitor reception video and security technology.
  • Respond to incidents or suspicious activities, coordinating with appropriate support.
  • Serve as the agency point person during emergency evacuation protocols.

Switchboard Operations

  • Answer telephone calls promptly, screen calls, and transfer callers to the correct staff member.
  • Report errors in the phone system promptly.
  • Direct voicemail messages to the appropriate staff.
  • Provide callers with a general business overview as needed.

Coordination of Agency Correspondence

  • Prepare and post daily outgoing mail.
  • Maintain the postage system, staying informed about current postal regulations.
  • Receive, date, and sort incoming mail, express envelopes, and deliveries.
  • Act as the primary contact for RHIO notifications.

Clerical Duties

  • Assist with administrative updates in electronic record systems.
  • Process, edit, and proofread Advancement team thank you letters.
  • Manage common areas and coordinate with Purchasing for supply reorders.
  • Assist with minor clerical duties including filing, mail collation, typing, proofreading, data entry, facsimile communications, and scheduling of meeting rooms.

Other

  • Ensure adherence to regulatory requirements and compliance standards.
  • Perform other duties as assigned by the Associate Vice President of Advancemen

Requirements

Education & Experience

  • High school diploma or equivalent; Associate’s degree preferred.
  • 2-4 years’ experience operating a multi-line switchboard and direct customer interface.
  • Minimum of 1-3 years’ customer support or hospitality experience desired.

  • Exceptional interpersonal skills.

  • Strong sense of urgency in issue resolution.
  • Proven track record of working independently.
  • Excellent organizational skills.
  • Proficiency with Microsoft Office Suite.
