Position Description: Project Coordinator
Classification: Non-Exempt Type: Full Time/ Salary Range: $58,000-$64,000
Reports to: Chief Operating Officer Date: January 2024
Summary/Objective
This position is responsible for managing the efficiency of the organization in a way that supports our strategic direction. This role will manage some day-to-day team functions such as scheduling meetings, taking minutes during all staff and board meetings, overseeing supplies and ordering, and answering the general phone line. The individual hired will also play a critical role in supporting the external communications and social media strategy for the organization. This role requires an ability to “manage-up” and take initiative on projects when needed.
Position Responsibilities
· Provide direct support to EC Works’ Leadership Team.
· Provide direct administrative support as needed, including scheduling appointments, meetings, events, booking travel, maintaining virtual filing system, updating contact database, employee list, and email groups.
· Act as the primary contact for the organization on all events and externally facing matters.
· Correspond with external stakeholders, including Board of Directors, local elected officials and State level staff.
· Create and maintain organization calendar of events, including monthly Executive Committee Meetings, Quarterly Board Meetings, Annual Chief Elected Officials Budget Meetings, whilst upholding the Roberts Rules of Order.
· Oversee and maintain office and program equipment for uninterrupted function, identify and fulfill office supply needs, maintain and manage vendors, and coordinate food delivery as needed.
· Take minutes at staff, board, and director’s meetings.
· Manage all aspects of the office’s space/infrastructure planning (moves, adds, and changes to workstations) and provide answers, resources, and solutions as requested.
· Provide support for contracts, grants, and lease management.
· Assist in preparing board level and grant reports for submission to the EC Works’ Directors.
· Update the website as needed.
· Other duties as assigned.

Travel
· This position requires minimal state and regional travel.
Required Education and Experience
· High School diploma or equivalent and 2 years of advanced education or experience in the specific job requirements noted under Position Responsibilities.
· Excellent organizational and time management skills and the ability to prioritize in a fluid changing environment.
· Must be organized, flexible, self-motivated, thrive in a collaborative environment, enthusiastic, dependable, and detail oriented.
· Proficient in online meeting platforms, Microsoft Office programs; Outlook, Word, Excel, PowerPoint, and basic trouble shooting.
· Proficient in Canva or similar platform.
· Proficient written and verbal communication skills, including accurate grammar and business correspondence knowledge.
· Demonstrated team player mentality.
Preferred Education and Experience
· Knowledge of Roberts Rules of Order.
· Experience in public administration, human resources, and/or related fields.
· Experience in handling confidential information.
· Experience in managing social media and marketing campaigns.
