Dental Coordinator Patient Access Full time, Benefit Eligible In the South End Primarily performs all registration and scheduling related activities in the Dental Department. This includes the delivery of exceptional customer service and the accurate and comprehensive collection, verification, and of demographic, insurance, and account information. In addition, the PAC supports Dental operations by handling calls appropriately from other departments requesting dental appointments, appropriately scheduling, canceling, and/or rescheduling appointments for the Dental department according to guidelines. A successful candidate would demonstrates superior customer service, written and verbal communication, judgment and problem solving skills. Job Description
Specific Job Functions:
Handle calls appropriately from other departments requesting dental appointments
Calls patients for scheduling
Appropriately schedules, cancels, and or reschedules appointments for the Dental department according to guidelines
Appropriately creates telephone encounters and routes to the appropriate pools
Monitors all dental schedules for open appointments and fills as appropriate
Appropriately refers patients to other departments when required and announces all warm transfer calls, in accordance to guidelines, to assure optimal delivery of customer service
Knowledge of “red flag”/urgent symptoms; know when Dentist involvement is needed; when to schedule a telehealth appropriately
Assists in escalated complaints that are not specifically requesting a supervisor and creates CRMs
Follows the check in/registration guidelines
Follows the check out guidelines
Process co-pay, self-payment posting as appropriate and cash handling following EBNHC protocol; when to refer for sliding fee scale ;must have knowledge of dental fee schedule and be able to communicate to patients appropriately
Monitors waiting rooms
Process UDS, Privacy Notice, Consent to Bill/Treat forms, *Dental: Medical history forms, other forms as directed
Faxing sorting and distribution
Complete pre-registration WQs for Dental,
Completes the in basket/staff messages request from providers
Scanning medical history/documents into Dentrix
Complete reminder calls 24 hours in advance/COVID symptoms screening
Qualifications:
Skills/Abilities:
Bilingual in English and Spanish required.
Experience:
One year of customer service experience previous experience in health insurance or medical setting preferred
Education:
High School Diploma or G.E. Equivalent.
Physical Environment:
Frequent sitting, occasional standing & walking, and lifting of 5-10 lbs.
