GENERAL DESCRIPTION OF POSITION
Responsible for managing the payroll and purchasing processes of the agency, executing general journal entries, and for various other support functions for the fiscal operations of the agency.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Processes bi-weekly payroll and bonuses which include; staff timesheets import, preparing data imports for ILAs, entering reimbursements, and reconciling hours and employee count for the pay period. Submits payroll data to payroll vendor each pay period. Runs all payroll reports. Enters and updates employee information in accounting software to ensure all employee files remain updated.
2. Coordinates purchase requisition and purchase order process daily. Runs weekly checks for voucher payments. Maintains all source documents which includes scanning and filing vouchers, documentation, and copy of check in the paid bill file. Monitors and maintains documentation for monthly ACH payments. Codes all ACH transactions and prepares monthly general journal entry.
3. Verifies accuracy of credit card and vehicle gas purchases for all agency vehicles by ensuring receipts and other documentation are provided from departments and match the statement. Codes all gas card purchases and prepares monthly general journal entry.
4. Codes and enters cash receipts into accounting system. Monthly review cash receipts history to ensure deposits are posted and coded correctly. Scan and save cash receipts by month.
5. Performs other support functions such as preparing general journal entries for copiers and central office postage, checking travel reimbursements for compliance with travel policies and process staff travel, maintaining rental income schedule, responsible for maintaining records and issuing postage to field office staff and keeping current and accurate records of maintenance contracts for all offices.
6. Perform any other related duties as required or assigned.

EDUCATION AND EXPERIENCE
High school, plus specialized schooling and/or on the job education in a specific skill area;
e.g. data processing, clerical/administrative, equipment operation, etc, plus 2 years related experience and/or training. Or equivalent combination of education and experience.
SOFTWARE SKILLS REQUIRED
Advanced: Alphanumeric Data Entry, Excel Spreadsheet, Adobe Acrobat Pro
Basic: Accounting, Payroll Systems, Contact Management, Word Processing/Typing
