The Senior Litigation Assistant & Legal Practice Administrator is responsible for the smooth and efficient operation of the California Regional Office, which consists of staff located in the San Francisco and Los Angeles Earthjustice offices. Responsibilities include a variety of complex administrative functions and litigation/program support; hiring and onboarding new staff; administrative collaboration with and support of the Trade, Health & Environment (THE) Impact Project, a community-academic partnership; and improving administration and operations support to increase program efficiency. 
This position reports directly to the Legal Practice Manager and requires the ability to work independently with minimal supervision. This hybrid role is expected to report to the office ~2 days per week.  
Litigation Support (70%):  
  • Review, edit, and prepare documents for filing, including: proofreading, cite checking, bluebooking, formatting, producing tables of contents and authorities, assembling exhibit lists and exhibits for voluminous multi-volume filings and comment letters.
  • Demonstrate expertise in the use of office and legal practice software.
  • Work with one to several editors to prepare final documents from draft stages.
  • File and serve paper and electronic filings.
  • Support administrative record and FOIA reviews, including managing and preparing productions for attorney review.
  • Prepare excerpts of records and appendices.
  • Master and develop expertise with technology, software programs, and other applications used to support litigation and program work.
  • Serve as technology power user in one or more applications and provide in-depth user support.
  • Draft procedural pleadings and other simple case-related documents.
  • Interpret and apply court and administrative agency rules and procedures. 
  • Create, organize, and maintain accessible, replicable folders for active and archived case, advocacy, and administrative file folders.
  • Compute and calendar court and other deadlines; schedule and coordinate case-related meetings, pre-briefs, and debriefs.
  • Communicate with allied counsel, clients, courts, and experts to coordinate logistics for hearings, brief filings, submissions of comments, and other proceedings.
  • Support some aspects of discovery including assistance with document collection and monitoring client holds, uploading and importing collections, preparing productions for attorney review, creating productions (load files and privilege logs).
  • Assist attorneys with deposition and hearing preparation, including: organizing document binders, printing exhibits, creating exhibit lists, communicating with court reporters, etc.
  • Support attorneys in gaining admission to courts, registration renewals, and creating and managing e-filing accounts.
  • Participate in and provide assistance for case-related or other meetings, including preparing materials in support of meeting, taking minutes, etc. 
  • Draft retainer agreements, litigation hold letters, and other case-related correspondence.
  • Conduct preliminary case inquiry, including factual research, analysis, and organization of relevant information and preparation of written report.
  • Help coordinate and represent Earthjustice at community outreach events and public hearings.
  • Assist attorneys with preparation of presentations for board members, donors, client groups.
  • Create and maintain guidance documents to support litigation practice and program work; engage in continuous quality improvement of in-house procedures and policies related to litigation support. 
  • May conduct factual research and analysis, including identifying, reviewing, and interpreting factual and technical information; may generate research notes, memoranda, summaries, tables, graphics, and other visuals, etc. 
Administrative Support for CA Regional, Los Angeles (30%): 
  • Operate all basic office equipment (computers, printers, postage meter, fax machines, copier, scanner, etc.) and perform minor troubleshooting.
  • Provide technical assistance to staff regarding word processing and e-mail software.
  • Maintain office file systems.
  • Provide back-up to Legal Practice Manager.
  • Make travel arrangements for attorneys when needed.
  • Set up and coordinate conference calls.
  • Event planning and logistics for retreats, conferences, and in-person office events.
  • Receive and process mail for CA Regional staff and cases/matters.
  • Draft new matter number and board approval requests, litigation updates, etc. on Intapp and serve as department liaison with Conflicts Teams.
  • Track office expenses and submit receipts to Legal Practice Manager.
  • Track and retain credit card receipts and enter credit card expenses in financial system.
  • Represent office’s interests in communications with Headquarters regarding case-management procedures and business practices.
  • Assist with staff recruiting and onboarding, serve as liaison to Human Resources.
  • Prepare applicable new employee orientation materials.
  • Participate in mentorship programs and offer support to new hires.
  • Respond to or field cold calls or emails asking for attorney representation, consistent with CARO’s case selection protocol.
  • Participate in Impact Project Coalition meetings and coordinate with the Impact Project Coalition’s Part-Time Coordinator to facilitate meetings and troubleshoot.
  • Communicate and help build relationships with clients, experts, court and agency staff, court reporters, staff at other firms, etc. as part of assigned responsibilities or as requested or approved by attorneys.
 Qualifications:  
  • Minimum two years of office experience, legal experience, or comparable experience required.
  • Advanced word processing skills (Microsoft Office, Adobe Acrobat).
  • Excellent research, analytic, writing, and communication skills. 
  • Strong work ethic, good judgment, initiative, and creativity. 
  • Strong desire to fight for the right of all to a healthy environment. 
  • Ability to work well independently and in a team-oriented atmosphere. 
  • Demonstrated awareness and sensitivity to the needs and concerns of individuals from diverse cultures, backgrounds, and orientations.

Salary Range for Los Angeles, CA : $77,000 - 85,500
