OCCUPATIONAL SUMMARY:
Perform administrative and secretarial duties of a complex and confidential nature in support of major program activities to relieve supervisor of varied clerical and administrative responsibilities and to maintain efficiency in organizational operations. This individual will assist Dr. Joanne Kurtzberg, Director of the Marcus Center for Cellular Cures (MC3), Dr. Shaz, Deputy Director of the Marcus Center for Cellular Cures as well as provide support to the rest of the MC3 team. This position will report to the Administrative Coordinator heading the Office of the Director.
WORK PERFORMED:
Assist the Director and Deputy Director with varied clerical and administrative responsibilities, including but not limited to daily scheduling, screening and triaging calls, returning phone calls, resolving phone and email inquiries, and drafting letters. Maintain Deputy Director’s calendar and CV.
Support the Administrative Coordinator in scheduling travel requests for the Director and Deputy Director, including booking air travel, hotel and ground transportation. Act as liaison with inviting organization/program to ensure all travel details have been confirmed. Prepare and submit Duke travel reimbursement requests for each travel event. Work closely with the inviting organization/program to ensure receipt of honoraria CME and travel expense reimbursements.
Provide direct administrative support to the PTCT Family Support Program through acceptance of donations, tracking and organizing, donor acknowledgement, website maintenance and other clerical duties.
Schedule clinical research patient appointments, upload patient documents and sensitive information to EPIC, and work with pharmacies for prescription approval.
Assist with onboarding new hires, monthly time off calendars and inventory/maintenance of communication sources (e.g. cell phones, computers, office phones, Microsoft Teams, Zoom, RightFax, etc.).
Perform other related duties incidental to the work described herein.
