We are seeking an experienced Office Administrator to serve as a strategic partner on our team. This individual will provide high-level support with key initiatives across the company. This role will require exceptional organizational skills, a strong attention to detail, and the ability to work independently.
The Office Administrator’s main objective is to perform a wide variety of general office tasks to relieve staff from routine administrative matters, and acts as the company’s office administrator.

General responsibilities include:

  • Manage relationship with service vendors for lawn care, snow removal, office and window cleaning, garbage service and other general maintenance needs.
  • Maintain inventory of employee food, snacks, and drinks.
  • Order food for events or meetings as requested by the leadership team.
  • Help prepare presentation decks for various departments and meetings.
  • Order and stock office supplies.
  • Manage expense reports for upper management and assist with booking travel arrangements.
  • Collecting and properly distributing mail and phone calls that may come to the office.
  • Help maintain a fun culture by managing office seasonal decorating, owning engagement, and other holiday celebration planning.
  • Assist with the planning and execution of company events and meetings.
  • Manage our safety rewards point program for management.
  • Help manage social media marketing for the company in collaboration with others on the team.
  • Oversee licensing renewals and requests as needed.
  • Prepare and distribute correspondence, memos, reports, and presentations.
  • Maintain and update confidential files and records.
  • Conduct research and provide support for special projects as assigned.
  • Coordinate with internal departments and external stakeholders to ensure efficient communication and collaboration.
  • Act as a liaison between executives and other staff members.

Skills and requirements necessary for success in this role:

  • Proven experience as an Office Administrator.
  • Exceptional proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time management skills.
  • Excellent communication, both written and verbal.
  • High level of integrity and the ability to handle confidential information.
  • Ability to prioritize and multitask effectively.
  • Strong problem-solving skills and the ability to make independent decisions.
  • Professional and polished demeanor with the ability to interact with stakeholders at all levels.

Education and experience:

  • High School Diploma/GED.
  • Minimum 3 years of experience in administrative and support staff activities.

Physical requirements necessary in this role:

  • Walk, bend, kneel, lift, stretch and sit.
  • At times effectively handle lifting of various objects weighing up to 50 pounds.
