Position Summary:
As a significant member of the Office of Student Transportation (OST) team, the Project Manager will be responsible for managing multiple transportation projects and serving as a collaborative partner with various departments. This position will develop best practices, strategies, and structures to develop and track robust project plans with project leads ensuring endorsement by executive management. The ideal individual is an assertive, collaborative, and highly organized individual with previous experience managing projects with a keen focus on the inputs and outputs necessary for the successful project implementation, tracking and reporting.
Minimum Qualifications:
Bachelor's degree in Education, Business Administration or related discipline.
Project Management certification preferred.
Experience managing projects such as stakeholder engagement efforts, operational process redesign, employee onboarding and procurement of materials.
Strong verbal and written communication skills and ability to engage and present complex information clearly across stakeholder groups.
Experience and fluency with Microsoft 365 platforms including: SharePoint, Excel, Word, PowerPoint, Outlook, Teams, Flow, Forms, and the District's Hub.
Experience in drafting confidential communication on behalf of key organizational leaders and able to maintain confidentiality relating to sensitive issues.
Ability to prioritize and respond quickly to competing demands.
Strong presentation skills with the ability to deliver technical assistance in a form understood by stakeholders.
Essential Functions:
Under the direction of the Executive Director for the Office of Student Transportation, the Project Manager will:
Manage project scope and deliverables through a structured change management process to ensure projects are complete and meet expectations.
Design, schedule, and facilitate kick-off and project meetings to advance project teams to task completion and successful outcomes.
Develop agendas, meeting minutes, presentations, executive briefings, knowledge articles, user guides, training materials, and other artifacts to build context, understanding, and communicate key messages related to projects to keep stakeholders and targeted audiences informed on progress.
Conduct risk assessments to identify factors capable of minimizing project success; providing root cause analysis and/or recommendations for mitigation or resolve.
Responsible for developing tools to keep project lead and team, business partners, stakeholders, and executive sponsors accountable for tasks and deliverables for projects; including meeting expectations and targeting on-time completion.
Develop and maintain project schedules and task details by utilizing a district-wide project management solution and tools such as reports, tracking charts, checklists, and budget forecasting. Develop methods for making progress against goals visible, including shared Gantt charts, dashboards, etc.
Refine the department's structured management process for the successful completion of projects.
Define the project management process, standards, deliverables, and operational cadence necessary to ensure consistency throughout project. Assist with the development of Standard Operating Procedures documentation, training, and communication.
Assist transportation leaders with the development and implementation of the OST strategic plan objectives, activities, and key results related to transportation.
Use District-wide systems to develop, implement and maintain data and reporting systems to provide real-time displays of pertinent information related to project management.
Coordinate and facilitate engaging stakeholder meetings to share pertinent information, project status and timelines/upcoming deadlines for transparency, accountability, and real-time feedback.
Actively participate in the development and implementation of policy, processes, and procedures, serve as an agent to inform, advocate and administer new policies, procedures and change orders.
Lead project management initiatives within and across teams by defining, planning, tracking and managing toward key outcomes, including leading effective project kick-offs, check-ins and closure meetings.
Conduct assessments and audits of department functions and operations and recommend areas for improvement.
Provide support to department staff and vendors by maintaining detailed data metrics as well as tracking systems to ensure the department meets all deadlines and District requirements.
Produce high quality project plans, reports, presentations, and data displays for review and analysis by District stakeholders.
Proactively participate in district-wide technology planning, projects, and activities.
Participate in district committees involving the use of transportation services.
Perform all other tasks and duties as assigned by the Executive Director, Office of Student Transportation.
