Job Title

In accordance with the Agreement between the Organization of School Administrators and supervisors and the Detroit Public School Community District the following vacancy is announced:

Position Summary:

This position will coordinate the K-12 athletics throughout the district. This includes facilitating the refinement of the sports program framework to execute the actionable work activities necessary to achieve desired performance results, acting as the liaison between the Athletic Office, District staff groups, local school administrators, facility operations, athletic partners, service providers, supplier, donors, and parents.

Minimum Qualifications:

Education

  • Must possess and provide evidence of a Bachelor's Degree from an institution accredited by the North Central Association of Colleges and Secondary Schools.

Experience:

  • This position requires at least five (5) years of administrative experience directly related to health and physical education.

Essential Functions:

Under the direction of the Executive Director of Athletics, the Program Associate I - K-12 Athletics shall:

  • Prepare interim and annual budgets for the high school sports program, utilizing the guidelines set forth by the district' budget department.
  • Must be fluent with PowerSchool/creating grade reports and/or a similar platform.
  • Must be proficient with the MHSAA rules and must have knowledge of written reports to the MHSAA.
  • Schedule athletic events at school locations. Community use knowledge preferred.
  • Have knowledge of Digital platforms, ie, GoFan (digital ticketing), Acktivate (forms, and E-Sports.
  • Include the coordination of overall financial budget, customer, process and continuous improvement work streams necessary to implement seasonal sporting activities. This includes a variety of duties associated with providing administrative assistance in support of DPSCD Athletic Department goals, proactive oversight and performance management, constituent coordination, and the community interactions necessary to ensure high quality customer experiences and engagements.
  • Plan, organize, and implement sports programs by overseeing a variety of sport clinics, intramural and league activities. Work responsibilities also include the ordering of District athletic equipment, supplies.
  • Must work collaboratively and independently to oversee sport activities at designated locations such as school facilities, parks, baseball/softball fields and other facilities. Special events, including weekends, holidays and evenings are included.
  • Lead efforts to recruit, on-board, direct and supervise suppliers. Must evaluate suppliers, seasonal staff, instructors, volunteers, and participant performance.
  • Evolve program requirements and coordinate plans well in advance for budgetary recommendations; prepares reports describing and evaluating programs at completion of activity and identifies methods and areas to improve.
  • Monitors the day-to-day operations of athletic programs including making site visits, handling, and resolving complaints and ensuring that programs have required materials and supplies, and formulates and organizes program plans and schedules for seasonal and/or year-round activities.
  • Enforce DPSCD policies, procedures and rules for staff, instructors, volunteers and contracted facility renters as well as enforcement of safety and operating procedures and maintenance needs including compliance with health and safety codes and building codes.
  • Athletic facility planning advice and support.
  • Organization and administrative support of large athletic events.
  • Establish collaborations with external partners.
  • Advise and support improving community involvement.
  • Organize coaching clinics.
  • Advise and support on the purchase of athletic equipment.
  • Assist with improving communications with parents and scholar-athletes.
  • Advise and support compliance to local, state and national mandates.
  • Schedule and supervise holiday sport events, playoffs and other sport tournaments.
  • Schedule and supervise athletic sport playoffs and championships.
  • Coordinate mandatory football helmet reconditioning.
  • Work with facilities on repair of athletic sites.
  • Coordinate the transfer of athletic equipment.
  • Assist with establishing fundraising organizations and coordinating fundraising projects.
  • Develop and maintain relationships with organizations for donations.
  • Assist the Office of Athletics as needed, under the direction of the Executive Director of Athletics.
  • Provide an atmosphere conducive to good sportsmanship, with a strong emphasis on developing district-wide character among all K-8 scholar-athletes.
  • Evaluate the yearly performance and progress of the K-8 sports program ability to function as a high-standard feeder system for the high schools' academic and sports program.
  • Perform other duties as assigned by the Executive Director
