JOB SUMMARY & PURPOSE

The Assistant Project Manager I (APM I) for Downstream Services, Inc. reports to the Project Manager (PM) and provides necessary support for projects within their assiged Department. The APM I helps implement project goals as directed by the Project Manager (PM) and is accountable for some aspects of a project’s life cycle. The APM I will carry out managerial tasks and coordinate with Leaders to ensure projects are completed on time and within budget with assistance from APM II-III and PM. Large scale, multi-department projects may require the APM I to coordinate with other Departments as directed by the Owners and PMs. The APM I will carry out managerial tasks and coordinate with their Department Foremen, Equipment and Inventory Coordinator (EIC), and administration to ensure all jobs are completed successfully under direction of the PM. Large scale multi department jobs will be coordinated between Departments and will be overseen by the Owners and PMs, with APMs assisting as needed.

ESSENTIAL FUNCTIONS

The APM I must have excellent communication and organizational skills. They have demonstrated a work history that reflects flexibility in daily operations and prudent judgment in a fast-paced environment. Some duties include:

  • Review new bid opportunities’ specifications and plan sets for project scope, requirements, submittals, etc.
  • Review daily project alert emails for potential bids.
  • Create and maintain job files both on the server and hardcopy.
  • Work with PM to create bids/proposals for work.
  • Assist PM with client meetings to discuss and present products and capabilities.
  • Act as the liaison between the customer and Downstream.
  • Assist with project billing and collections.
  • Attend Department Progress Meetings and Scheduling Meetings
  • Assist with department schedule (weekly and long term) and coordination with Department Superintendents and Foremen.
  • Maintain and send out Department schedule in Skynet (daily).
  • Review time sheets for accuracy in Skynet (daily).
  • Coordinate daily work tasks for field crews, communicate priorities by providing supporting docs, and coordinating onsite appointments.
  • Communicate any issues, concerns or defects with the client as instructed by PM.
  • Request quotes, prepare POs, order, and track material procurement (parts, rentals, etc.).
  • Perform other duties and projects as assigned.

MINIMUM QUALIFICATIONS

  • An Associate or Bachelor’s degree in a field related to the industry, or equivalent training preferred.
  • At least 2 years of proven and successful Administrative/Project Assistant experience, or related experience required.
  • 1-2 years construction industry experience preferred.
  • Proficiency with Adobe and Microsoft Office Suite required.
  • Experience with ArcGIS and/or AutoCAD, Sage, and scheduling systems preferred.
  • Excellent verbal and written communication skills.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Takes initiative, anticipates, and handles issues.
  • Well-developed and professional interpersonal skills.
  • Strong attention to detail and accuracy.
  • Other certifications and training may be required to further knowledge in the industry.

  • Ability to sit for long periods of time
  • Ability to Stand, Walk
  • Ability to lift to 20 pounds
  • Repetitive motion tasks using fingers, wrist and/or hands

Job Type: Full-time

Pay: $22.79 - $27.00 per hour

Expected hours: 40 per week
