Down To Earth Services is Hiring a Medical Receptionist Near Knoxville, TN

Seeking Medical Receptionist!

OVERVIEW: We are seeking a new team member that will interface with clients through greeting, scheduling, processing payment, and maintaining work area by performing the job duties relating to management of our practice. We are seeking someone who can make clients feel welcome and safe when they enter our office as well as represent our core values. Our office is quickly growing, so our front desk is fairly steady. You will be the authority at the front desk, and will occasionally need to hold both clients and staff accountable, so confidence is a must.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Greet clients immediately when they arrive.
  • Promptly notify clinicians that client has arrived.
  • Handles incoming calls, takes messages, retrieves text messages and responds to these promptly.
  • Screen new clients for scheduling.
  • Manage clients’ appointment.
  • Manage DTES clinician schedules.
  • Confirm amount due and collect payment at each session.
  • Ensure proper credits/payments are maintained on patient accounts.
  • Support practice cleanliness through weekly office cleaning, or more as determined.
  • Maintain and make certain that all client forms are completed in a timely manner in preparation for new intakes. If necessary, patiently explain paperwork to new clients.
  • Manage administrative element of client charts including records requests, updated patient information, updated consents, and other documentation as needed.
  • Manage practice email and fax
  • Support collections process with clients
  • Assist Clinicians in some case management needs

EDUCATION, EXPERIENCE, and TRAINING:

  • High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
  • Requirements: Basic computer skills (Microsoft 365 Suite, printing/file scanning systems), Timeliness, Efficiency, Patience, Professionalism and the ability to learn new computer programs quickly.
  • Customer Service experience of at least 1 year.
  • Must be willing to follow federal HIPAA confidentiality guidelines and any policies and procedures put in place by the practice.

HOURS: Full-Time starting at 40 hours/week. Pay rate commensurate with experience.
