Douglas County is Hiring a Division Secretary (GRANT FUNDED) Near Omaha, NE

The Position

Incumbent works under the direction of an assigned Division Chief or designee, providing administrative support for an assigned Division of the Health Department.

Essential Functions

  • Receive, screen, and direct calls, taking messages, responding to inquiries and referring inquiries to subject matter experts.
  • Greet, screen, and direct visitors, providing assistance.
  • Establish and maintain effective work relationships with clients, supervisors, County employees, elected officials, attorneys, law enforcement, judges, other agencies, and the public.
  • Comply with Civil Service policies and regulations, collective bargaining agreements, County policies, department policies and laws to create a cooperative, safe, respectful and quality work environment.
  • Receive and record complaints, forwarding to appropriate staff.
  • Prepare mail (e.g. open, sort, distribute).
  • Prepare and maintain various documents (e.g. records, reports, correspondence, time sheets, memos, forms, notices, permits, contracts, legal documents, requisitions, direct pays).
  • Utilize various software (e.g. data entry, updating, retrieving, calculating, compiling) for statistical and program activity.
  • Process receipts received, verifying daily receipts, resolving discrepancies and forwarding to the Administrative Division.
  • Establish and maintain a storage filing system (e.g. information, forms, reports).
  • Maintain adequate office supply inventory, requisitioning additional supplies and distributing or storing.
  • Coordinate and maintain the Division calendar, scheduling meetings, conferences, interviews, travel and arrangements.
  • Attend meetings, taking notes and recording/transcribing minutes.
  • Maintain job knowledge and skills (e.g. meetings, training, webinars, seminars, conferences, continuing education).
  • Serve as a backup to other sections.
  • Circulate magazines, pamphlets, and other reading materials.
  • Serve on internal and community committees.
  • Participate in emergency response and preparedness training, responding during a public health emergency.
  • Report to work with regular, consistent attendance.
  • Perform other duties as assigned and directed.
Education and Work Experience and Other Requirements

  • High school diploma or equivalent required.*
  • Three (3) years of clerical experience required.*
  • Two (2) years of MSOffice required.
  • Type/keyboard 50 net words per minute required.
  • Completion of a pre-employment criminal record check and conditional offer drug screen required.
  • *Equivalent combination of education and work experience may be substituted for requirements on a year-for-year basis.

  • Work is generally performed in an office setting. Noise level is usually moderate. Work hours are typically standard day-shift hours; however, schedule may vary (e.g. overtime/extra hours, evenings, weekends, holidays, emergency call-in). Work may be stressful when dealing with time constraints, limited resources, multiple/changing priorities and uncooperative/irate individuals.
  • Work requires some physical activity, including extended periods of sitting, frequent standing reaching, and occasional walking, bending, carrying, balancing, grasping, pulling, pushing, stooping, squatting, kneeling. Work also requires the ability to frequently lift and/or carry objects weighing up to 10 pounds and occasionally lift up to 25 pounds.
  • Required sensory abilities include vision, hearing, and touch. Visual abilities, correctable to normal ranges, include close, distance, and color vision, depth perception, and the ability to adjust focus. Communication abilities include the ability to talk and hear within normal ranges. Work requires hand-eye coordination and manual dexterity necessary to operate computers and other equipment.
