JOB SUMMARY

Assist Catering Managers in obtaining customer satisfaction by performing clerical and administrative duties related to hotel catering.

ESSENTIAL JOB FUNCTIONS 

 •Answer incoming telephone calls completing a lead form for all inquiries and assist guest with questions, changes and special requests.

•Ensure no leads are abandoned and all calls are returned within four hours and requests are communicated to appropriate departments.

•Prepare all banquet event orders and convention resumes with appropriate cover letters by utilizing menu management. Distribute to appropriate departments.

•Daily pull of trace cards and files.

•Create thank you letters and comment cards.

•Prepare all outgoing correspondence for mailing and file copies. Mail catering and wedding brochures as requested.

•Maintain catering filing system according to Interstate SOP's. File contracts and correspondence daily.

•Attend and participate in sales meetings.

•Take reservations for special events.

•Ability to comply with company policies and procedures.

•Other tasks as assigned.

Qualifications

KNOWLEDGE, SKILLS AND ABILITIES 

 •High School Diploma and 2 years secretarial school or equivalent administrative experience.

•Some hotel experience preferred.

•Some administrative experience preferred.

•Ability to type 50 words per minute with accuracy, computer knowledge (MS Office, Delphi preferred).

•Excellent communication skills – both written and verbal.

•Ability to converse calmly with irate Guests’, co-workers or supervisors in sometimes tense situations.

•Understand the mission, vision and game plan of the hotel.

•Ability to understand Guests’ service needs.

•Must have a flexible schedule and the ability to work Saturday if needed.
