DMR-Western Region is Hiring an Office Support Specialist I Near Worcester, MA

The Department of Developmental Services (DDS) has an excellent career opportunity for a highly motivated individual as an Office Support Specialist I position at the Worcester Area Office, Worcester MA. This position supports the administrative functions and needs of the management team of the office.

  • Maintaining the main office space. Draft and analyzes correspondence, responding to inquiries, data management, faxing, copying, and scanning documents.
  • Operate standard office machines and equipment such as photocopiers, postage machine (including balance and updates), fax machine, computer, and any other equipment utilized in the Area Office. Ensure ongoing functionality of equipment, trouble shoot as needed in addition to working with MIS/customer service. Assist in any new equipment rollout.
  • Provide general support services to all staff in the Worcester office and act as an administrative assistant to the Area Director and Assistant Area Director, requiring a large degree of decision making and knowledge of functions of the Department.
  • Act as a liaison with internal and external agencies regarding the day-to-day operations of the Area Office.
  • Prepares reports and compiles data using computer software/databases.
  • Schedules and attends regular meetings as assigned by Area Office Management.
  • Assist in the on-boarding of new employees ensuring all necessary equipment and supplies are provided and in working order.
  • Manage office support functions including inventory, office supplies, building issues, and office liaison to MIS support and regional purchasing.
  • Manage assigned area projects including mass mailings and information gathering.
  • Supervise Clerk IV.
  • This is a full-time position, 37.5 hour per week, 8:45am-5:00pm Monday-Friday. The days off are Saturday and Sunday.

Qualifications

Minimum Entrace Requirements:

Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below:

Substitutions:

I. An Associate’s or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.

II. An Associate’s or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.

Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.

Educational substitutions will only be permitted for a maximum of two years of the required experience.
