About Us
Divi Electric Inc. is a small electrical contracting company known for our commitment to quality, safety, and customer satisfaction. We work on a variety of projects, ranging from large industrial and commercial contracts to smaller residential projects. We're seeking a detail-oriented and organized Office Administrator/Bookkeeper to join our team full-time and support the day-to-day operations of our business.
As our Office Administrator/Bookkeeper, you will play a critical role in maintaining the smooth operation of our office, collaborating with our company officers, project managers and more. This role involves a blend of administrative tasks, bookkeeping, and HR support. The ideal candidate will be adaptable, proactive, and able to work independently.
About the Role:
Bookkeeping
· Accounts payable – reviewing all bills for errors or discrepancies, maintenance of tax-exempt forms, posting bills for payment.
· Accounts receivable – review incoming payments for discrepancies, posting payments.
· Bank reconciliations.
· Assisting with payroll as needed.
· Prepare and send invoices to clients, collaborate with President and project manager regarding overdue payments.
· Annual preparation of Work in Progress report.
· Communicate and collaborate with our accountant as needed.
Office Administration
· Act as primary point of contact for clients, vendors, and internal staff.
· Ordering supplies and as needed.
· Manage vendors for office maintenance.
· Managing mail and maintaining filing systems.
· Supporting project manager and president with administrative tasks supporting open projects.
· Review annual insurance policies, communicate with insurance broker for requests of certificates or changes to policy.
HR Support
· Assist with employee recruitment.
· Employee on-boarding, including W4 and I9 Compliance
· Benefits Administration
· Maintaining employee records and tracking employee PTO
· Ensure compliance with company policies and relevant laws and regulations.
· Reporting Worker’s Compensation claims when necessary.
What we’re looking for:
· Experience in office administration, bookkeeping, or related field.
· Excellent organizational and multitasking skills.
· Strong attention to detail and accuracy.
· Good communication and interpersonal skills.
· Ability to work independently and as part of a team.
· Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
