This position provides administrative support for 3 DSE Finance Directors. Additionally, it supports the broader Finance teams reporting to these directors. Under the leadership of these directors, the Executive Secretary is the first point of contact and is expected to be proactive in keeping the directors accurately informed of all significant matters by maintaining a network of communication throughout the Company.

What You Will Do

Every day as an Executive Support Professional is different! On any given day you might:

  • Orchestrate complex and evolving calendar management (proactively)
  • Excellent written, verbal and interpersonal communication skills to assure professional interaction with senior executives, internal partners and external contacts. Strong grammar skills with an ability to prepare correspondence and communications
  • Proactive/assertive approach to work with strong organizational and follow-through skills, orderly and meticulous with ability to balance multiple work streams simultaneously, prioritize work and accurately, and efficiently, archive documents and work products
  • Coordinate all logistics of the team and team events (e.g., new hire onboarding, office relocation, office supplies, for all office locations)
  • Proficient with technology and in coordinating video conferencing meetings, including but not limited to finding appropriate conference rooms (e.g., size, multiple locations) and setting up the rooms to be ready for meetings (e.g., remote connections and/or dial-ins), if applicable
  • Proficient in Microsoft Office, SAP/Concur/Casual Buyer, and Coupa, as well as managing/assisting in the department budget/expense tracking, and planning/scheduling of any business trips, if applicable
  • Proven ability to exercise good judgment and to handle confidential and sensitive information
  • Greeting/assisting Guests/meeting participants, if applicable

Required Qualifications & Skills

  • Minimum 3 years secretary experience or equivalent
  • Demonstrated ability to project a positive and professional image
  • Positive teammate with an enthusiastic attitude and strong Guest/customer service skills
  • Walt Disney Company experience including knowledge of company policies, culture and operating practices
  • Ability to operate all standard office and conference room equipment, including video conferencing software(s) such as Zoom and Teams
  • Instrumental creating an inclusive, radically transparent and flexible environment for all with a dedication to Diversity, Equity, and Inclusion

Preferred Qualifications & Skills

  • Minimum 3 years executive secretarial experience supporting Director level or above
  • Proven knowledge of enterprise Disney culture, structure and HR practices
  • Administrative experience in a corporate environment with proven success interacting, partnering and networking with all levels of management, including executives (directors and vice presidents) in a fast-paced dynamic environment
