St. Paul’s Church and School – Riverside
Position Title: Office Manager
Reports to: Pastor
Full-time
FLSA: Hourly Non-Exempt
Hourly Rate: $22.00 to $23.00
General Summary: The Office Manager is a full-time position reporting to the Pastor in support of the spiritual and pastoral mission of the Parish and School, working collaboratively in a positive, friendly, and professional manner with all employees, parishioners, and visitors. The ideal candidate will be professional and organized with excellent written and verbal communication skills.
Primary Duties and Responsibilities
  • Manage plant facilities staff. Schedule parish facilities & coordinate with staff and users of facilities for meetings, events, or rentals. Issue and monitor facility keys.
  • Schedule and monitor staff office hours. Schedule, train and monitor volunteer staff for the parish office.
  • Establish office record-keeping systems.
  • Coordinate volunteer programs and prepare and produce weekly bulletin.
  • Maintain parish offering envelope system, Parish sharing (online giving) sacramental record-keeping system, and media library.
  • Maintain petty cash fund.
  • Work closely with the Shared Services Department of the Diocese regarding fiscal responsibilities to ensure timely transmittal of all accounting activities such as accounts payable, deposits, and payroll, etc.
  • Ensure all employees and volunteers have cleared background checks, completed required training, and maintain appropriate documentation.
  • Coordinate recruitment, ensure new hire onboarding is complete including Forms I-9 and E-Verify.
  • Oversee the timely opening and closing of the Parish office.
  • Oversee inventory of office supplies and maintenance contracts for entire facilities and Parish office.
  • Maintain proper internal control of all financial and confidential information.
  • Attend staff meetings as scheduled.
  • Perform other duties and responsibilities as mutually agreed upon with the Pastor and the school principal.
  • Vacation time must be approved in advance by the Pastor.
Knowledge, Skills, and Abilities Required
  • Associate degree or higher preferred.
  • Minimum two years of experience as office manager or comparable role.
  • Proficient in Microsoft Office
  • Professional with excellent planning and organization skills.
  • Excellent written and verbal communication skills.
  • Catholic in good standing. The ability to respect, promote, accommodate, and not be in conflict with the mission and teachings of the Catholic Church.
  • Effectively relate and work with clergy, religious, school principal and laity of the Catholic Church.
LANGUAGE SKILLS
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, vendors, employees, and the general public.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
