Position: Parish Secretary
St. Mary of Hannah

General Summary:
This position assists with the ministry of the parish by supporting the various administrative functions of the parish. The Secretary directs these efforts with expertise from a framework of shared ministry and Catholic values.
Supervisory Responsibilities:
  • Oversees the daily workflow of the parish and parish office.
  • May coordinate and oversee volunteers at the parish.
Duties and Responsibilities:
  • Performs secretarial duties for the pastor and other designated staff. Receives and places telephone calls, schedules appointments and meetings, prepares written communication and processes mail. Greets and refers guests to the appropriate minister, service, or agency. Prepares bulk mailings as needed.
  • Prepares the parish bulletin weekly
  • Prepares Mass ministry schedules
  • Prepares and sends to the Diocese bills to be paid, and parish income information.
  • Establishes and maintains office record-keeping and filing systems, including sacramental records.
  • Schedules parish facilities and coordinates the use of keys for facilities.
  • Attends meetings as requested.
  • Oversees the opening and closing of the office each day. Ensuring all machines are turned on/off, windows and doors are locked, and all appropriate lights are on/off.
  • Coordinates volunteer programs as needed.
  • Participates in new employee orientations.
Skills:
  • Talking to others to convey information effectively.
  • Communicating effectively in writing as appropriate for the needs of the audience.
  • Identifying complex problems and reviewing related information to develop and evaluate options and implement solutions.
Education and Experience:
  • High school graduate or equivalent required; Associates degree in office administration or related field preferred.
  • General secretarial experience or equivalent required.
  • Must be a practicing Catholic in Good Standing.
  • Must be able to maintain confidentiality.
Physical Requirements:
  • Prolonged periods of sitting at a desk and working with hands in repetitive motion tasks.
  • Requires some standing, stooping and bending.
  • Must be able to lift up to 15 pounds at times.
Employee is expected to work at parish office, Monday through Thursday; occasional weekend work may be required. This position may require minimal travel. Office hours are Monday through Thursday, 8:00 am to 4:30 pm. (The actual days of the week the office is open could be adjusted as needed.)
