DHCHD Brand is Hiring an Executive Administrative Assistant Near Dalhart, TX

Dallam Hartley Counties Hospital District invites you to become an integral part of our team! We are looking for a Executive Administrative Assistant to join our administrative department. Under supervision of the CEO, the Executive Assistant provides high-level executive support to the Chief Executive Officer, leads project management efforts for strategic initiatives, and manages administrative assistance for the executive team. The Executive Assistant also assists with basic accounting tasks, data entry, and medical provider credentialing.

Essential Duties and Responsibilities

  • Provide administrative assistance; write and edit emails, draft memos, and prepare communications on the executive’s behalf.
  • Maintains the daily schedule for the CEO. Ensures leaders are kept informed of changes.
  • Provides clerical support to CEO, CFO, and executive team members.
  • Prepares and distributes agenda and corresponding materials for assigned Board and Medical Staff committee meetings. Takes accurate minutes and maintains all committee files.
  • Assists in gathering, preparing, and submitting information needed for audits, cost reports, and other reporting as needed.
  • Tracks expenses administrative expenses and prepares reconciliations.
  • Manages relationships and communications with internal team members and external parties, including vendors, board members, employees, and patients.
  • Create and maintain licensing, credentialing, and insurance records for all medical providers.
  • Handle sensitive information with the utmost discretion and confidentiality, maintaining a high level of professionalism in all interactions and communications.
  • Assist in the coordination and execution of various projects and initiatives led by the CEO, collaborating with internal teams and external partners as needed. Monitor project timelines and deliverables to ensure objectives are met.
  • Perform additional tasks or responsibilities as delegated or assigned by the CEO and/or executive team.

Requirements

  • Ability to type 45 WPM; Demonstrated ability to perform basic computer functions.
  • Knowledge of basic computer use, Internet software and Microsoft Office products (Word, Access, Outlook, Excel and PowerPoint).
  • Maintain a commitment to discretion and confidentiality concerning sensitive information.
  • Excellent communication and customer service skills.
  • Ability to perform quick and accurate research in all business-related areas.

  • Flexibility to adapt to changing priorities and work in a dynamic environment.

Qualifications

  • Education: High School diploma, or equivalent
  • Experience: At least one (1) year of administrative experience, preferred.

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer, intermittent walking, sitting, and standing.
  • Some bending, stooping, and reaching is required.
  • Must be able to lift up to 15 pounds.
