Description

Ideal Candidate is responsible for answering incoming calls, directing calls to appropriate staff,serving visitors by greeting, welcoming, and directing them appropriately; notifies company personnel of visitor arrival; maintains security and telecommunications system.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
  • Directs visitors by maintaining employee and department directories; ensures knowledge of staff availability.
  • Maintains security by following procedures; monitoring visitor logs; issuing visitor badges; giving access to yard.
  • Maintains telecommunication system for house phone and console operation.
  • Maintains safe and clean reception area by complying with procedures, rules, and regulations.
  • Receive and sort mail and deliveries to appropriate departments.
  • Create and distribute monthly Company Newsletter
  • Coordinate Company Events, to include blood drive, monthly birthdays, etc.
  • Assists HR & Accounting Departments with invoice reconciliation, filing and maintenance.
  • Provide general administrative and clerical support, including photocopying, faxing, mailing, Scanning Client Data, and Organizing cloud folders.
  • Contributes to team effort by accomplishing related tasks as needed.
  • Performs other related duties as requested.

Qualifications


QUALIFICATIONS AND EDUCATION REQUIREMENTS

  • 1 3 proven experience as a receptionist and administrative assistant to include, excellent telephone skills &customer service.
  • Minimum of a High School diploma or equivalent
  • Proficient in computer skills, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Must possess excellent verbal and written communication skills
  • Must possess excellent telephone communication etiquette
  • Must be professional at all time and follow professional dress code policy.
  • Bilingual (EN/SP) preferred.

KNOWLEDGE SKILLS AND ABILITIES

  • Excellent organizational skills
  • Ability to work under pressure.
  • Ability to follow detailed instructions and written procedures.
  • Ability to prioritize work based on safety, quality, and productivity demands.
  • Ability to interact with all levels of staff and personnel.
  • Ability to apply basic math skills.
  • Ability to read, write and speak English.

WORKING CONDICTIONS:

  • Ability to occasionally lift up to 15 lbs.
  • Ability to sit for long periods of time.
  • May work in a noisy or distracting environment.
  • Ability to work prolonged and/or irregular hours.
  • Ability to work through stressful situations
