SUMMARY:
The Receptionist is a crucial role that serves as the main point of contact for all clients, vendors, locations, and claimants to ensure our success. This includes answering phone, managing and processing email and incoming mail; through processing records, invoices, answering location questions and forwarding client orders to account managers.
ESSENTIAL FUNCTIONS:

•Manage up to 150 calls per day.
•Answer multi-line phone and forward client calls to account managers, onsite personnel, Headquarters, answer question and process calls.
•Manage emails daily.
•Research to see if inquiries were received and follow up on partial faxes.
•Manage mail distribution.
•Distribute checks and bills to accounting; and disseminate all other mail to appropriate staff as required.
•Process all rejections or objections and forward to account managers.
•Refer unresolved customer inquiries and/or grievances to designated departments for further investigation.
•Assists with customer service calls/issues.
•Report all pertinent findings of customer inquiries, complaints and client satisfaction to applicable management when necessary.
•Safeguards confidentiality of the medical records and complies with all local, state, and federal laws pertaining to medical records. Assures
compliance with all HIPAA regulations concerning use, retrieval, storage, and sharing of medical records.
•Any other duties of similar or lesser nature as required (i.e., preparing records to be scanned, such as removing staples, paperclips, records from
binders, etc.).

EDUCATION / EXPERIENCE:
•High school diploma or equivalent required.
•A minimum of 1-year experience in administrative role.
SUPERVISORY RESPONSIBILITIES:
This role is not a supervisor position.
LANGUAGE SKILLS:
Ability to effectively present information and respond to questions from internal and external customers whose first language is English.
