At Denali Family Services we serve children who require intensive behavioral health care services and support for their families. Denali Family Services offers individual, family and group psychotherapy services in combination with intensive care coordination and individualized support across many settings.

The Data Specialist provides administrative support to the Medical Records Administrator, Director of Operations and other departments as needed. Core functions of this position include but are not limited to the following: maintaining agency records, organization of electronic and physical charts, and preparing reports from the electronic medical records system.

This position is responsible for observing policies, procedures, and safeguards to protect the privacy of health information in compliance with the HIPAA Privacy (Privacy Rule).

Essential Functions:

  • Create client charts for new clients.
  • Maintain quality and accuracy of the records by following agency procedures.
  • Scan and file patients' medical records and information into both the electronic health record and client charts.
  • Distribute incoming medical records and faxes to the appropriate treatment team members.
  • Ensures all medical records are protected and kept confidential in accordance with HIPAA guidelines.
  • Release information to persons or agencies according to privacy and confidentiality of HIPAA regulations and agency guidelines.
  • Track outgoing record requests in the Accounting of Disclosure Log.
  • Package discharged client information in accordance with agency guidelines.
  • Entering client assessment data and profiles into a secured database system.
  • Aggregating and reporting data from employee and/or consumer surveys.
  • Providing assistance in audits and re-accreditation processes.
  • Maintaining and adhering to strict confidentiality in regards to client information, records, etc.

Other Activities & Responsibilities:

  • Create and maintain user profiles in the electronic heath record system for new and existing employees.
  • Completes clerical duties including answering phones, responding to emails, distributing faxes for staff, and processing patient admission and discharge records.
  • Maintain a good working relationship within the department and other departments.
  • Participate in agency committees, staff meetings, and trainings as assigned.
  • Monitor departmental supplies and issue supply requests as needed.
  • Contacting employees with any necessary corrections to documentation.
  • Performing fast and accurate data entry using multiple computer software systems.
  • Assist other departments as needed.
  • Other duties as assigned.

Position Requirements:

Minimum Qualifications: High school diploma, GED, or equivalent; and at least two (2) years of experience in a health care environment. Prior experience with electronic records and/or medical records experience in a health care environment preferred.

Knowledge, Skills & Abilities:

  • Knowledge of medical records policies, procedures and industry specific protocols.
  • Must have excellent written and interpersonal communication skills and sound judgment.
  • Ability to maintain positive professional working relationships and to work effectively within a team environment.
  • Organized, efficient, and able to manage multiple tasks simultaneously with attention to detail and accuracy.
  • Ability to ensure consumer and employee confidentiality as prescribed by agency policy and federal law.
  • Proficiency in Adobe and Microsoft Office products, both desktop and online/ cloud-based systems, as well as electronic medical record systems
  • Knowledge and understanding all agency protocol, policy, procedure, plans program requirements.
  • Ability to monitor, review, and understand data reports.
  • Ability to read, speak, and write in English.

Physical Requirements: Ability to perform sedentary work as well as to be engaged in moderate physical activities (e.g. walking). Must be able to lift 25 lbs; have visual acuity necessary to utilize a computer monitor throughout the course of a normal workday. Ability to perform repetitive keyboarding activities and operate general office equipment. Ability to communicate verbally, both in person and over the telephone.

Working Conditions: Work is performed in the Medical Records room in a community mental health center.

Other Requirements: Continual proof of a valid Alaska Driver's License, maintain current personal vehicle insurance and registration on personal vehicle(s) used for company business, maintain a violation free driving record for the past year, and maintain satisfactory criminal background record. Must be at least 21 years of age.
