Job Description for Executive Assistant/Development Coordinator

  • Minimum of Associates Degree in a related field of study - Required
  • This is an administrative position and does not have a youth development component. Great opportunity for those who are savvy with graphics, details, and comfortable with a variety of computer programs for documents.

Overall Responsibilities -This is NOT a REMOTE JOB.

  • Provides professional support and assistance to the Executive Director to ensure effective and professional day-to-day operations.
  • Oversees the implementation of brand management and public relations for the organization at various events.
  • Works closely with the Executive Director for statewide efforts to support the financial goals through a variety of clerical tasks.
  • Coordinates executive communications, website updates, responds to emails, and interfaces with donors, staff, board members, volunteers.
  • Prepares internal and external documents as needed.
  • Oversees and manages the calendar for the Executive Director; attends meetings on behalf of the Executive Director.
  • Completes note taking and reports back on all meetings attended.
  • Coordinates events to take place outside of the workplace, such as fund-raising events and staff appreciation events.
  • Maintains an organized filing system of paper and electronic documents
  • Upholds a strict level of confidentiality.
  • Develops and sustains a level of professionalism among staff and all external partners.
  • Updates the database for funders and assist with creating annual reports.
  • Sends out acknowledgment letters to donors and other correspondence to constituents.
  • Assists and attends any special events as requested.

Knowledge, Skills, Abilities

  • Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software - Required
  • Social Media Use/Management (Facebook, Instagram, YouTube) - Required
  • Executive Leadership Support (Calendar Management, Travel Arrangements, Expense Reports, Meeting Prep, Planning/Coordination)
  • Proficiency in collaboration with others and setting priorities
  • Strong organizational, project management, and problem-solving skills with impeccable multi-tasking abilities
  • Offers a high degree of professionalism to ALL constituents of the Executive Office
  • Exceptional interpersonal skills
  • Some grant writing experience is preferred
  • Friendly and professional demeanor
  • Ability to speak in Spanish – preferred
  • Some understanding of non-profit management – preferred
  • Database skills – preferred
  • Able to work remotely as directed as well as in the office
  • Able to travel to all three locations with reliable transportation with a valid license to drive as needed.

Job Type: Full-time

Pay: $40,000.00 per year
