Davisson Enterprises, Inc is Hiring a Real Estate Assistant Near La Mesa, CA

We are seeking a dynamic and detail-oriented Real Estate Assistant to join our team. This role is crucial in ensuring the smooth operation of our real estate business by handling various administrative tasks, financial management, client communications, and document processing. The ideal candidate will thrive in a fast-paced environment, possess excellent organizational skills, and demonstrate a proactive attitude towards problem-solving and task management. Familiarity with lease generation and contract processing is required.

Responsibilities:

Financial Management:

  • Manage accounts payable and receivable, including cutting checks, processing invoices, and tracking expenses.
  • Utilize QuickBooks and Excel for accurate record-keeping and financial reporting.
  • Coordinates budget preparation, reporting and preparation and control of records, statistics, and reports regarding operations.
  • Prepares correspondence, invoice tracking, reports and presentation materials for management review.
  • Monitor leasing activity, occupancy rates, and leasing velocity to track progress against lease-up goals and benchmarks.
  • Prepare regular reports and updates for senior management, summarizing leasing performance and key performance indicators.

Document Processing:

  • Generate lease agreements, contracts, and other legal documents accurately and efficiently.
  • Assist in lease modification processes, ensuring all changes are documented and communicated effectively to relevant parties.
  • Organize and maintain electronic and physical filing systems for easy access to important documents.

Client Communication:

  • Maintain regular communication with clients via phone, email, and in-person meetings.
  • Provide exceptional customer service by promptly addressing client inquiries and concerns.
  • Coordinate appointments, showings, and property tours with clients and real estate agents.

Administrative Support:

  • Perform a wide range of administrative tasks including but not limited to phone support, draft, preparation, and distribution of correspondence, expense reporting, calendar and scheduling, meeting coordination, filing and copying.

Requirements:

  • Bachelor’s degree in business administration, accounting, real estate, finance, or related field AND/OR minimum of four years of experience in property management, leasing, asset management, or related field.
  • Proficiency in QuickBooks, Word, Excel, and Adobe Creative Suite.
  • Strong attention to detail and accuracy in financial management and document processing.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with clients and colleagues.

  • Solid grasp of financial tools and platforms, including but not limited to quick books,
  • Excellent computer skills including Word, Excel, and Adobe Creative Cloud.
  • Ability to collaborate effectively with cross-functional teams, including development, property management, and construction.
  • Detail-oriented mindset with the ability to manage multiple projects simultaneously and meet deadlines in a dynamic environment.
  • Experience with performance monitoring and reporting, including the use of leasing software and analytics tools.
  • Adaptability and resilience in the face of changing market conditions and leasing challenges.
  • A customer-centric approach, committed to delivering exceptional service and experiences to tenants and management teams alike.
