Dark Horse Institute is seeking a full-time Accounting and Finance Director to join our team in downtown Franklin, TN.

The person who is the right fit for this position is highly experienced with the scope of responsibilities outlined below and is a QuickBooks expert (ideally QuickBooks Online). We are a small, but very busy team which thrives with self-starters, problem solvers and positive attitudes. This position is full-time and on-site.

Financial Management

  • Full accounting responsibilities for company in a QuickBooks Online-based environment.
  • Manage cashflow and anticipate upcoming cashflow needs.
  • Track all incoming and outgoing financial transactions.
  • Reconcile statements for all financial institutions.
  • Troubleshoot, discuss and solve problems as they arise.
  • Maintain steady communication and reporting to school Director and company CEO.

Accounts Payable

  • Supervise payables processes, as well as related transactions and vendor documentation.
  • Supervise annual issuance of 1099s.

Accounts Receivable, Tuition Management and Financing

  • Supervise and work closely with Accounts Receivable Specialist, including tuition invoicing and payments.
  • Manage internal systems for on-going collections processes.
  • Collaborate with Director for student financing activities and related truth in lending records.
  • Maintain familiarity of tuition payment options and regulations, and support Accounts Receivable Specialist in student discussions.

Educational Institution Compliance

  • Oversee all aspects of complex annual audit with the Tennessee Higher Education Commission.
  • Conduct detailed audit review of all QBO categories, balance sheet items, trial balance and general ledger; Confirm all accounts are in balance and that all backup documentation is in order; Find and resolve discrepancies.
  • Maintain digital file history.
  • Work closely with CPA and state auditors to complete all tasks accurately and on time.

Human Resources / Payroll

  • Work with payroll provider for recurring processing; oversee appropriate paycheck deductions and corresponding record-keeping for all payroll transactions.
  • State and federal filings related to employees.
  • Work with payroll provider on annual W2 issuance.

Risk Management, Taxes and Insurance

  • Preparing and filing local and state tax reports and payments.
  • Provide CPA with all necessary data for federal tax return preparation.
  • Complete quarterly unearned revenue schedules for deferred income per student.
  • Oversee insurance policies (health, liability, property, worker’s compensation) and manage renewals, premium payments, and compliance.
  • Collaborate with Director and insurance broker for review and comparison of health insurance policy options.

Affiliated Company Support

  • Approximately ten percent of this position involves oversight of two smaller “sister companies.”
  • Communicate with bookkeeper of sister companies to provide support and problem solving.
  • Review monthly and year-end financial reports, and review with CEO.
  • Oversee taxes, insurance and bigger picture finance projects as with the school’s parallel responsibilities.

Experience and Attributes we are seeking include:

  • Extensive experience with accounting and directly managing the financial operations of a business.
  • Extensive experience with the current version of QuickBooks, ideally QuickBooks Online.
  • Proficiency with Google Sheets, Gmail, Windows, Microsoft Office (especially Excel), Adobe, and Sharefile preferred.
  • Experience with a for-profit school or similar institution is a plus, but not required.
  • Solid communication skills, particularly with the ability to explain financial concepts to creative types.
  • Exceptional accuracy and pristine attention to detail is critical.
  • Integrity, discretion, and the ability to admit mistakes.
