Danny and Rons Rescue is Hiring a Director of Business Operations Near Wellington, FL

JOB SUMMARY: MUST LOVE DOGS. The Director of Business Operations is responsible for all aspects of the Rescue’s day to day business operations to ensure the Rescue is run efficiently and in compliance with all regulations. This includes but is not limited to Human Resources, Fiscal Management as well as general problem solving for the Rescue.

The Director of Business Operations reports to the Founder/President of the Board. This position works collaboratively with all team leaders and Rescue Staff. This position interfaces with General Counsel and the Board of Directors as required by the President. Ideally the Director of Business Operations will reside near Camden, SC or Palm Beach County, FL.

ESSENTIAL FUNCTIONS:

Human Resources

  • Responsible for Human Resource Policies and Procedures ensuring compliance, updating Employee Handbook and annual review of policies with outside HR consultant. Manages relationship with outside consultant.
  • Conducts annual review of job descriptions ensuring all job descriptions are accurate and up to date.
  • Ensures team leaders properly onboard new employees using HRIS system. Ensures job applications, reference checks and offer letters are completed appropriately.
  • Ensures background checks are complete prior to new hires start date. Manages relationship with Proscreen.
  • Reviews and approves payroll. Manages payroll vender.
  • Recommends and gains President’s approval for annual bonuses and annual raises, ensuring appropriate equity.
  • Works with Health Benefit agency to conduct annual review of benefits prior to open enrollment. Makes recommendations for changes as appropriate. Ensures appropriate payroll deductions are made.
  • Manages 403B program, vender and ensures appropriate filings are made via the accounting firm. Enrolls new employees in plan and forwards any changes made by employees to payroll consultant.

Finance and Accounting

  • Develops annual budget for review and approval by President and Board of Directors.
  • Monitors actual revenue and expenses versus budget, adjusts forecast as necessary and informs President and Board of Directors of major variations in a timely manner so appropriate actions can be taken.
  • Prepares financial statements for Board Meetings and Reviews with President and Treasurer prior to Board Meetings.
  • Conducts all bookkeeping functions utilizing Quick Books ensuring all bills are paid and recorded appropriately. Conducts regular reconciliation of all accounts.
  • Manages all aspects of donation receipts insuring appropriate classification and reconciliation with Kindful and deposits. This includes in kind donations and stock donations. Manages checks and balances between Kindful and QuickBooks. Informs Management of key donations as appropriate.
  • Implements new business processes as required to ensure all fund-raising programs are linked into current systems appropriately.
  • Manages business interfaces between QuickBooks and Kindful as well as validating data integrity as it relates to donor receipts.
  • Reviews all expenses for accuracy and appropriateness. Ensures all venders have appropriate documentation.
  • Provides Accounting firm with all appropriate documents for preparation of the audit, 990 and 5500. Is the primary interface with the accounting firm. Facilitates the audit process, reviews findings and develops action plans to address audit findings.
  • Supervises bookkeeping associate.

General

  • Ensures Rescue is in compliance with all Regulatory requirements for nonprofit Rescues.
  • Manages all insurance policies, including Health policies. Responsible for obtaining competitive bids on all policies. Ensures all insurance policies are reviewed prior to renewal and all premiums are paid on time. Manages open enrollment for healthcare benefits. Ensures insurance worksheet and all documents are updated.
  • Ensures all contracts are signed, filled, and renewed when required.
  • Working with outside firm ensures all state registrations are kept up to date.
  • Ensures record retention policy is adhered to.

QUALIFICATIONS:

REQUIREMENTS:

  • Bachelor’s Degree from an accredited college or university preferred.
  • 5 Years of experience running a small business or nonprofit.
  • A minimum of 3-5 years of progressive bookkeeping experience, preferably with QuickBooks.
  • Excellent computer skills: QuickBooks, Excel, Word, Dropbox
  • Self-starter, problem solver, ability to work in matrix organization with limited resources.
  • Strong organizational and time management skills, with attention to detail.
  • Excellent follow up skills

Job Type: Full-time

Pay: $100,000.00 - $150,000.00 per year
