Dane County is Hiring a LTE Administrative Legal Assistant (Bilingual - Spanish) Near Madison, WI

The Dane County District Attorney's Office, Victim Witness Unit, in Madison, Wisconsin, is recruiting for an LTE Administrative Legal Assistant (Bilingual – Spanish) position. Employees who work in bilingual designated positions receive an additional $2.00 per hour. 
Limited Term Employees (LTEs) are limited to working 1,200 hours per payroll year and are not guaranteed any specific hours per week.Commitment to Equity & Inclusion

DEFINITION
Under general direction, performs increasingly varied and responsible legal duties and related administrative lead work as required. Work methods normally require a considerable degree of independent judgment in interpreting, applying and revising procedures and precedents to a variety of situations. Employees in this class may have a great deal of contact with the public and employees of other departments in seeking and giving out information where specific and detailed knowledge of departmental policy and procedures is required. A general knowledge of other departments and their responsibilities is usually required. There is no formal direct line of supervision over others but employees at this level often assist in training, monitoring and distributing work to others. Although all administrative legal assistants must have the knowledge, skills, and abilities to perform all job duties and tasks set forth below, specific assignments will be delegated at the discretion of their manager.
 
EXAMPLES OF DUTIES
Obtain information from attorneys, agencies, social workers and social services agencies, governmental and quasi-governmental agencies and others to obtain and/or promulgate necessary data and information; contact parties and interested individuals to explain the status of cases; perform research necessary to case processing; prepare and file pleadings drafted by attorneys; evaluate available information and recommend or take appropriate action. Work may also include clerical, front desk responsibilities such as answer the main phone line; open, sort, and distribute incoming mail; greet and address the public in the office; file documents in the appropriate files; and copy a wide variety of documents.

Education, Training and Experience: 

Must have a minimum of an associate degree from a two (2) year college or a diploma from a vocational school or program with an emphasis on legal and/or administrative training or a combination of training and experience that is equivalent to three (3) years of increasingly varied and complex clerical responsibilities and demonstrated knowledge of electronic and processing/computer case management systems, preferably in the legal field. One (1) year of increasingly responsible clerical work in a court system or law office is preferred.

For Bilingual Positions
  1. Provide services in both English and the required foreign language (e.g., Spanish, Hmong, etc.), including oral interpretation and written translations in that language. 
  2. Applicants being considered for Bilingual positions will be tested during the interview stage of the hiring process. This may consist of either being able to respond to questions in that language (e.g., Spanish, Hmong, etc.) during the interview; or passing an oral translation (English to foreign language / foreign language to English) exam prior to employment.

Background Check Statement: Some positions may require a criminal background check which can include fingerprinting due to the nature of the job’s responsibilities. Wisconsin’s Fair Employment Law, s. 111.31 – 111.395, Wis. Stats., prohibits discrimination because of an arrest or conviction record. However, Dane County may disqualify an applicant if the position’s responsibilities are substantially related to the applicant’s criminal history (e.g., the nature of the crime and its relationship to the position, whether hiring, transferring or promoting an applicant would pose an unreasonable risk to the business, its employees, customers and vendors, etc.) Management reserves the right to make employment contingent upon successful completion of the background check.

Physical and Environmental Work Requirements:

Ability to use hand and wrist motion; ability to see and hear within normal ranges with or without adaptive devices; ability to sit and ability to lift, carry, transfer stacks of files and/or file boxes in hands or via cart. Additionally, staff may be recruited for work assignments outside of the normal county business hours. e.g., evenings and weekends. Must have ability to multi-task with speed and accuracy as workload is very time sensitive and deadlines are dictated by Wisconsin Statutes. The environment is a highly collaborative, high energy and fast-paced law office employing approximately 100 professional employees. Ability to work with exposure to trauma and grief as the result of crime including sensitive crimes such as homicide, serious injury, violent assaults, child sexual assault and abuse. Ability to separate personal trauma from work performance.

Knowledge of modern office practices and procedures; knowledge of relevant laws, regulations and guidelines; knowledge of court procedures and practices; knowledge of civil commitment laws and practices; knowledge of legal terms and papers; knowledge of interviewing techniques; knowledge of basic investigatory principles; ability to gather, organize and evaluate a variety of data and information; intermediate or advanced knowledge of Microsoft Office; ability to create and maintain databases; ability to exercise independent judgment and carry out assignments with minimal supervision; ability to maintain confidentiality; ability to communicate effectively both orally and in writing with other employees and the general public, especially in sensitive situations; ability to operate standard office machines; ability to draft and prepare a variety of legal papers; ability to conduct independent research and investigations.
