The District Office Supervisor is critical in providing leadership to the operations team which includes overseeing the fulfillment process for work sold by Service Sales Representatives to ensure that customers' requirements are met, revenue and profit objectives are achieved, and operational efficiencies are delivered.

A Day in the Life:

  • Directs the entry of all information and maintains information in Astea. This includes work orders, new customer information, and technician hours for billing purposes.
  • Supports sales through involvement in job quotation and estimation. Approves estimates for scope of work, labor hours and material content, assesses profit risk of jobs, controls material and labor costs and provides feedback to the District Manager.
  • Oversees and directs the implementation of new hire onboarding activities including, completion of new hire paperwork and employer required I-9 forms, as well as ensuring all new hire job tools (computer, phone, vehicle, credit card, safety gear, etc.), as required, are available and ready for use.
  • Oversees the tracking of time and attendance for technicians, the invoicing and billing of customers, the warranty administration process, and local office AP/AR functions, with the goal of improving these to best-in-class levels.
  • Drives improvement in Invoice Audit compliance by overseeing the timely and thorough close-out of all SV's, and ensures all associated paperwork (PO, credit approval, sub-agreement, etc.) is received in a timely fashion and filed with the corresponding job.
  • Ensures that maintenance contract commitments are fulfilled and inspections completed on time. Provides input to Service Coordinators on scheduling activity of technicians and works with Operations Manager in identifying and communicating technician dispatching strategy to Sales Coordinators.
  • Working in coordination with the District Operations Manager, provides weekly job status, revenue, and warranty recovery report to District Manager.
  • Attends, participates, and leads the Monthly Coordinator meeting with the goal of standardizing and improving the Operational Dashboard.
  • As required, completion of additional business functions will be necessary by the District Manager.

Qualifications:

Must have:

  • Associate's / 2 year degree
  • 5 years related experience
  • Proficiency using the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, etc.)
  • Experience using Astea or other service tracking software

Nice to have:

  • Bachelor's Degree
  • Experience in the HVAC industry
  • Previous supervisory/management experience
